Job description

Operations Associate


Position Summary

Jewish Leadership Academy (JLA) is seeking a highly organized, proactive, and detail-oriented Operations Associate to support the day-to-day operations of the school.

Reporting to the Chief Operating Officer, this individual will play a key role in managing procurement, vendor coordination, facilities support, and operational projects across the school. The ideal candidate enjoys building processes, solving problems, following through on details, and working with multiple departments to ensure things get done.

This is a hands-on role for someone who thrives in a fast-paced environment and takes ownership of projects from start to finish.


Key Responsibilities


Procurement & Purchasing

  • Manage the school's procurement process and purchasing workflows.
  • Serve as the primary administrator for Procurify and related purchasing systems.
  • Coordinate with department heads to ensure purchase requests are submitted, approved, and processed in a timely manner.
  • Track outstanding requests and proactively follow up to keep orders moving.
  • Assist with vendor quotes, purchase orders, and procurement documentation.
  • Help ensure purchases are coded correctly and routed through the appropriate approval process.


Vendor Management

  • Serve as the primary point of contact for purchasing vendors, coordinating product sourcing, ordering, pricing, and vendor relationships.
  • Coordinate vendor onboarding and maintain required documentation.
  • Track contracts, renewals, insurance certificates, and key deadlines.
  • Assist in resolving vendor-related issues and service requests.


Operational Projects

  • Create and maintain process documentation, trackers, and operating guides.
  • Assist with the implementation and administration of operational systems and software.
  • Identify opportunities to improve efficiency and reduce administrative burden across the school.
  • Support food service projects, NSLP compliance, and operational initiatives.
  • Help support school events and operational logistics as needed.


Administrative Support

  • Support the COO with operational priorities and special projects.
  • Prepare reports, schedules, trackers, and operational updates.
  • Help ensure deadlines and commitments are completed on time.


Qualifications

  • Bachelor's degree preferred.
  • 2–5 years of experience in operations, administration, project coordination, procurement, or a related field.
  • Strong organizational and project management skills.
  • Excellent communication and follow-up skills.
  • Ability to manage multiple priorities simultaneously.
  • Strong attention to detail and problem-solving abilities.
  • Proficiency with Microsoft Office, Google Workspace, and business software systems.


Preferred Experience

  • Experience working in a school, nonprofit, or mission-driven organization.
  • Experience with procurement, purchasing, facilities coordination, or vendor management.
  • Experience with workflow management or purchasing systems such as Procurify.
