Overview

Step into a role at the heart of our organization.  As the Operations Associate, you'll partner directly with our C-Suite team to support key initiatives, streamline operations, and get an inside view of leadership and decision making at a thriving independent school and nonprofit. This is an ideal position for a highly organized, proactive early-career professional looking to build real-world experience in executive operations, project management, and strategic planning in a high-functioning non-profit.

Responsibilities:

With great supervision to help you learn how to navigate work flow on a weekly basis, you will offer vital support to a number of key C-Suite team members.  In addition to pop-up creative projects that you will help to drive, responsibilities will also include:

Admissions/Retention Support
  • Assist with admissions tours (logistics and scheduling).
  • Support admissions events through logistics and attendance, acting as a welcoming presence for potential families.
  • Help with organizing and communicating retention efforts
  • Communicate admissions updates and information to families as needed.
  • Support outreach and recruitment processes for prospective families.
  • Handle admissions data entry and ensure accuracy across systems.
Business Office & Finance Support
  • Assist with accounts payable (AP), accounts receivable (AR), and the business office more generally.
  • Manage payroll support and tuition/fee billing, as needed.
  • Handle AP and expense management tasks such as invoice routing and processing, addressing issues with invoices as they arise, and coordinating with vendors.
  • Support credit card reconciliation, including collecting documentation and coding expenses.
  • Maintain accurate records of business office transactions and internal documentation.
Advancement & Strategy Support
  • Manage Excel mail merges to communications and segmentation that will enable personalized experiences for community members.
  • Support donor data entry and updates in the advancement database.
  • Conduct basic research to support donor cultivation and stewardship.
  • Provide advancement event support and logistics, including preparation of materials and coordination with other teams.
  • Produce and send acknowledgement letters for donations.
  • Assist with donor stewardship communications, ensuring timely follow-up and accurate tracking.
