Position Summary

The Risk & Safety Manager is responsible for supporting and executing the risk management and safety programs across Rural Metro Fire and Capstone Fire & Safety. This role provides administrative oversight of safety compliance, claims management, program administration, and data management to foster a safe and healthy work environment. The Manager works closely with the Chief Human Resources Officer, regional operations teams, and external partners to reduce organizational risk and ensure regulatory compliance.

Essential Functions

Safety & Risk Operations

• Coordinate and track field safety reports submitted by operations teams, maintaining accurate documentation of findings and follow-up actions.
• Serve as the administrative point of contact for daily risk management and safety activities, including review of new claims reports and safety check-ins with field operations.
• Conduct occasional on-site location visits to support compliance reviews and maintain familiarity with operational conditions.
• Coordinate motor vehicle accidents, patient drop, and other incident investigations by collecting documentation, tracking status, and ensuring timely reporting.
• Maintain investigation records and escalate findings to leadership with supporting documentation and recommended corrective actions.
• Support the coordination and facilitation of Safety Committee meetings, including scheduling, agenda preparation, data compilation, and minutes distribution.

Claims Management

• Serve as the primary administrative point of contact for daily claims activity, including review and intake of new claims through ESIS and coordination with the TPA and insurance carriers.
• Conduct monthly workers’ compensation, auto, and general liability claim reviews to verify accurate reporting and appropriate inclusion in organizational rates.
• Manage the timely notification and filing of claims, ensuring proper documentation and communication with the insurance carrier/TPA, regulatory agencies, and legal counsel as directed.
• Maintain claims records and track claim status through to closure, ensuring operational stakeholders are informed of open claims and exposure.
• Manage claims reporting calendars and ensure all deadlines for filing and follow-up are met.

Compliance & Regulatory Oversight

• Ensure compliance with all applicable local, state, and federal environmental, health, and safety regulations, including OSHA requirements.
• Maintain a regulatory filing calendar to track compliance deadlines, audit schedules, and reporting obligations.
• Oversee annual OSHA log review, distribution, and related compliance activities.
• Maintain and update standard operating procedures and safety policies, ensuring employee awareness and adherence.
• Coordinate quarterly audits, including Operational Safety Assessments (OSA) and Ground Force Assessments (GFA), tracking completion and maintaining documentation of findings.

Training & Development

• Coordinate and ensure completion of required safety and health training for all employees, including scheduling, tracking enrollment, and managing completion records.
• Administer the learning management system (LMS) or equivalent training tracking platform, ensuring training assignments are current and accurate.
• Distribute the annual safety survey, follow through on training assignments, and report completion status to leadership.
• Maintain current knowledge of all required training programs and disseminate updates to employees and leadership in a timely manner.
• Participate in all mandatory company training programs.

Technology & Reporting

• Build, maintain, and distribute recurring safety and risk management reports and executive summaries to leadership.
• Maintain SharePoint, shared drives, or equivalent document management systems to organize and archive safety program records, policies, and reports.
• Manage the safety program inbox, ensuring timely routing and response to incoming communications.
• Conduct weekly driving report alert reviews and maintain a check-in cadence with HR and Operations to promote open communication.
• Maintain and update the Regional Safety Matrix and fleet information as needed.
• Compile data, analyze safety trends, and prepare reports and executive summaries for leadership review.
• Participate in risk and safety calls across various operations and business units.

Stakeholder Communication

• Establish and maintain effective working relationships with employees, operations management, and external partners at all levels of the organization.
• Provide counsel and guidance to operations management on safety performance, risk mitigation, and regulatory requirements.
• Communicate safety program updates, policy changes, and training requirements to field operations in a clear and professional manner.
• Respond to internal requests for safety and claims information, coordinating with appropriate stakeholders to ensure accurate and timely responses.

Qualifications

• Bachelor’s degree in Occupational Health and Safety, Business Administration, or a related field preferred; equivalent work experience considered.
• 3–5 years of experience in risk management, environmental health and safety, or a related role.
• Experience in fire, EMS, or emergency response services is strongly preferred.
• Working knowledge of OSHA regulations, safety compliance standards, and risk management principles.
• Familiarity with claims management systems and TPA workflows, including platforms such as ESIS.
• Proficiency in data analysis and reporting tools, including PowerBI or similar platforms.
• Experience with fleet safety programs, including administration (we currently are using SuperVision / Solera).
• Excellent written and verbal communication skills with the ability to present safety metrics and reports to leadership.
• Strong analytical and problem-solving skills with exceptional attention to detail.
• Ability to develop and deliver effective safety training programs.
• Strong organizational skills and the ability to manage multiple priorities simultaneously.
• Proficiency in Microsoft Office Suite and technology used in safety inspections and reporting.
• Ability to maintain confidentiality and exercise sound professional judgment.
• Ability to work effectively in stressful or emergency situations.

Position Conditions

• Work under tight deadlines supporting Rural Metro Fire and Capstone Fire & Safety Management
• Occasional evening/weekend work to meet deadlines
• On-site work in Huntsville, AL office, with travel to business sites
