Job Title: Order Fulfillment AssociateJob Description
The Order Fulfillment Associate processes customer orders using an Enterprise Resource Planning (ERP) system and a ticketing system, ensuring accuracy throughout the fulfillment cycle while delivering exceptional customer service. This role focuses on reviewing and booking purchase orders, resolving order and pricing issues, and serving as a key point of contact for customers and internal teams.
Responsibilities
  • Process customer purchase orders in the ERP system with a high level of accuracy and attention to detail.
  • Review purchase orders against customer quotes to verify pricing before booking orders into the ERP system.
  • Use the company CRM system to manage the work queue and verify customer product certifications.
  • Work closely with the sales team to obtain approval on drop-ship orders and confirm that discounts listed on purchase orders are valid.
  • Utilize the ERP system to process purchase orders efficiently and ensure all required information is complete before finalizing orders.
  • Respond promptly to customer inquiries and provide thorough resolutions to issues to ensure a high level of customer satisfaction.
  • Handle day-to-day correspondence via email and phone, with the majority of communication conducted through email and approximately 10 calls per day.
  • Answer customer questions via phone and email regarding lead times, order status, back-ordered materials, and other order-related details.
  • Collaborate with customers to resolve pricing issues on orders as they occur.
  • Partner with the sales operations team to prioritize orders when inventory is limited to meet customer and business needs.
  • Build rapport with new and repeat customers by providing professional, friendly, and consistent customer service across all interactions.
  • Review and execute change orders and correction requests accurately and in a timely manner.
  • Support continuous improvement efforts by effectively prioritizing work, managing multiple tasks, and meeting daily expectations.
  • Perform other duties as assigned to support the order fulfillment and customer service functions.
Essential Skills
  • High School Diploma or GED.
  • At least 6 months of relevant experience in order processing, customer service, logistics, or a related office environment.
  • Experience using ERP systems to process and manage purchase orders.
  • Experience using CRM systems to manage work queues and customer information.
  • Strong data entry skills with a focus on accuracy and attention to detail.
  • Excellent written and verbal communication skills for email and phone correspondence.
  • Ability to collaborate effectively with a diverse cross-functional team located in multiple regions.
  • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
  • Ability to prioritize tasks, manage multiple orders and inquiries simultaneously, and meet daily deadlines.

Work Environment
This role is based in a professional office environment located in the same building as the manufacturing and supply chain teams, offering close collaboration with operational staff. The team consists of approximately 15 people at the location, creating a supportive and relaxed atmosphere that is distinctly different from a traditional call center. Performance is measured by attention to detail, quality of work, attitude toward internal teams and customers, and strong attendance. The typical workday runs in the afternoon to early evening with some flexibility, and training will initially follow a 9:00 a.m. to 5:00 p.m. schedule. Training lasts approximately two weeks and includes shadowing and role plays to build confidence in systems and processes. No travel is expected for this position. Once hired on a permanent basis, there are opportunities for pay increases, growth within the organization, and a 90-day stay bonus, making this a compelling opportunity for individuals seeking long-term development in a stable, growing company.

Pay and Benefits
The pay range for this position is $20.00 - $20.50/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
