Job description

Position Summary:
Esplanade at Starling is pleased to announce an excellent career opportunity for a Facilities Maintenance Manager. This position is responsible for supporting the successful turnover, opening, operation, and long-term maintenance of Starling's growing amenity campus. The Facilities Maintenance Manager will oversee facility operations, preventive maintenance, vendor and contractor coordination, asset management, warranty tracking, Member work orders, pool operations, court maintenance, life safety requirements, and storm preparation.
As Starling continues through its development and amenity opening phase, this role will play a critical part in transitioning newly constructed facilities from construction to daily community operations. The ideal candidate is hands on when needed but also capable of developing systems, managing priorities, coordinating vendors, maintaining documentation, and building a preventive maintenance program from the ground up.
 
Compensation: $55,000 annually
 
Employment classification to be confirmed by Troon Human Resources based on the final responsibilities and applicable wage and hour requirements.
 
Key Responsibilities:
Amenity Turnover & Opening:
  • Participate in turnover inspections of the Amenity Center, Fitness Center, pool facilities, courts, and other community assets.
  • Develop and maintain punch lists for newly constructed facilities and amenities.
  • Coordinate with construction teams, contractors, vendors, and management to track outstanding deficiencies through completion.
  • Track warranty items and submit warranty claims when appropriate.
  • Assist with equipment commissioning and confirm that equipment, building systems, and community assets are operational before turnover.
  • Establish facility documentation, equipment records, warranties, manuals, service agreements, and asset inventories.
Preventive Maintenance & Asset Management:
  • Develop and manage a comprehensive preventive maintenance program for community facilities and equipment.
  • Utilize MIRA to manage assets, preventive maintenance schedules, inspections, work orders, documentation, and maintenance history.
  • Maintain an accurate inventory of community equipment, tools, replacement parts, warranties, and major assets.
  • Conduct routine inspections of buildings, amenities, equipment, courts, pool areas, and other community facilities.
  • Identify maintenance concerns before they become larger operational issues.
  • Maintain appropriate records of inspections, repairs, service calls, warranties, and preventive maintenance.
Vendor & Contractor Management:
  • Coordinate and oversee vendors and contractors performing work throughout the community.
  • Verify work completion, quality, and compliance with community expectations.
  • Coordinate proposals, service schedules, repairs, inspections, and warranty work with approved vendors.
  • Assist management with evaluating vendor performance and identifying maintenance or capital needs.
  • Coordinate access for contractors and vendors performing work within community facilities.
Pool & Aquatic Operations:
  • Support the safe and compliant operation of community pool and aquatic facilities.
  • Perform or oversee routine pool inspections, water chemistry monitoring, equipment checks, and maintenance.
  • Maintain required pool operational records.
  • Coordinate pool equipment repairs and service with qualified vendors.
  • Support compliance with applicable Florida Department of Health requirements and community operating standards.
  • Maintain current Certified Pool Operator certification.
  • CPO Certification required or must be obtained within 90 days of hire. Company paid.
Member Work Orders & Service:
  • Receive, prioritize, document, and respond to Member reported facility and maintenance concerns.
  • Maintain professional response and completion standards for Member work orders.
  • Communicate appropriately with Members regarding maintenance concerns, facility closures, repairs, and expected completion timelines.
  • Provide exceptional customer service consistent with a hospitality focused resort community.
  • Maintain clean, safe, attractive, and operational community facilities.
Hurricane Preparation & Emergency Response:
  • Coordinate facility hurricane and severe weather preparation procedures.
  • Secure community facilities, pool areas, courts, outdoor furniture, equipment, signage, and other assets before severe weather events.
  • Maintain hurricane preparation checklists and required supplies.
  • Participate in post storm inspections and damage assessments.
  • Coordinate emergency repairs, cleanup, vendors, and restoration activities following severe weather.
  • Participate in the property's emergency response and on call rotation as required.
Fire, Life Safety, & Compliance:
  • Coordinate required fire and life safety inspections and maintain associated records.
  • Monitor fire extinguishers, emergency equipment, AEDs, emergency lighting, exit signage, and other safety equipment.
  • Identify potential safety hazards and take appropriate corrective action.
  • Maintain facilities in accordance with applicable safety requirements and company standards.
Facility Maintenance:
  • Perform or coordinate routine building maintenance as necessary.
  • Troubleshoot basic electrical, plumbing, carpentry, mechanical, and facility related issues.
  • Complete minor repairs when appropriate and coordinate licensed contractors when specialized work is required.
  • Assist with painting, hardware replacement, fixture replacement, furniture assembly, equipment installation, and other facility needs.
  • Maintain tools, maintenance areas, equipment, and supplies in a safe and organized condition.
  • Order necessary parts and supplies within established purchasing procedures.
Management & Operational Responsibilities:
  • Assist with development and management of the facilities operating budget.
  • Monitor maintenance expenses, repair costs, supplies, vendor services, and equipment needs.
  • Identify future capital replacement and facility improvement needs.
  • Develop operating procedures, inspection schedules, maintenance standards, and facility checklists.
  • Coordinate facility priorities with community leadership and other department leaders.
  • Provide direction and oversight to maintenance staff, contractors, and vendors as applicable.
  • Support future Facilities team members as the community grows.
  • Maintain appropriate service levels during weekends, events, emergencies, and periods of high community activity.
  • Perform additional facility related responsibilities necessary to support community operations.
Qualifications:
  • Two or more years of experience in facility maintenance, community association operations, hospitality, club operations, resort operations, or a related environment preferred.
  • Experience working within a large HOA, resort style community, club, hospitality property, or similar environment preferred.
  • Experience coordinating vendors, contractors, work orders, preventive maintenance, or facility projects preferred.
  • Working knowledge of electrical, plumbing, carpentry, mechanical systems, and general building maintenance.
  • Experience with facility management or work order software preferred.
  • Ability to prioritize multiple operational needs in a developing and fast paced environment.
  • Strong organizational, communication, documentation, and customer service skills.
  • Ability to work independently while coordinating effectively with management, vendors, contractors, Members, and other departments.
Education, Certifications, & Training:
  • High school diploma or GED required.
  • Trade school certification, technical training, or equivalent facility maintenance experience preferred.
  • Certified Pool Operator certification required or must be obtained within 90 days of hire. Company paid.
  • Valid driver's license required.
Computer & Technology Skills:
  • Proficiency with email, Microsoft Word, Excel, internet-based systems, and mobile applications.
  • Ability to learn and utilize MIRA for work orders, asset management, preventive maintenance, inspections, and documentation.
  • Ability to maintain accurate digital records, reports, photographs, inspection documentation, and vendor information.
Physical Requirements:
  • While performing the duties of this position, the employee may be required to stand, walk, climb, bend, kneel, crouch, reach, and work indoors and outdoors in Florida weather conditions.
  • The employee must be able to safely use common hand and power tools and occasionally lift or move up to 50 pounds.
  • The position may require operation of a motor vehicle or golf cart.
Schedule:
  • This position requires schedule flexibility based on community operations and may include occasional evenings, weekends, holidays, emergency response, hurricane preparation, and on call responsibilities.
