Job description

Recording Desk & Processing Typist

As a part-time Recording Desk & Processing Typist, you will join a stable, successful, and growing team. In this role, you will be responsible for reviewing, typing, processing, and submitting critical mortgage and real estate documents for recording. You will interact with a wide variety of stakeholders, receive thorough cross-training, and play a vital role in ensuring data accuracy and compliance across our recording pipeline.

This is an in-office position in our West Jordan, UT office. This is a Monday - Friday part-time position working 20-30 hours/week. You would have a set schedule.

Key Responsibilities:

Document Review & Recording Operations

  • Review mortgage, real estate, and title documents (e.g., Deeds, Deeds of Trust, Mortgages, Assignments, Satisfactions) for accuracy, completeness, and adherence to county recording guidelines.
  • Prepare, package, and submit physical and electronic document sets to county clerks and local recording offices.
  • Track recording status, proactively resolve county rejections or exceptions, and follow up until final recordation is confirmed.

Typing & High-Volume Data Entry

  • Perform accurate, high-volume typing and indexing of real estate instruments, legal descriptions, party names, and recording details into company systems.
  • Maintain exceptional data integrity and typing accuracy under tight daily processing timelines.
  • Update internal workflows and maintain organized audit trails for all recorded documents.

Stakeholder Collaboration & Administrative Duties

  • Collaborate effectively and professionally with internal teams, managers, lenders, and county representatives via email, phone, video conferencing, and in person.
  • Own assigned projects and proactively provide regular workflow and status updates.
  • Comply with all company policies, procedures, regulatory standards, and mandatory compliance training deadlines.
  • Perform other related operational and administrative duties as assigned.
Qualifications & Skills:

Required Knowledge & Technical Skills:

  • Mortgage & Real Estate Documents: Strong working knowledge of mortgage documents, real estate titles, and the end-to-end county recording process.
  • Data Entry & Typing: Exceptional typing speed and accuracy with strong computer proficiency, including Microsoft Office Suite (Word, Excel) and Outlook.
  • Attention to Detail: Meticulous organizational skills with the ability to spot errors in complex legal/real estate paperwork.
  • Problem-Solving & Initiative: Ability to act independently with sound judgment, take initiative, and adapt to changing daily priorities.

  • Clear, grammatically correct, and professional written and verbal communication skills.
  • Active listening skills and strong professional presence across all communication channels.
  • Ability to thrive in a fast-paced environment while handling multiple tasks under strict time constraints.
  • Dependable, reliable, and punctual attendance during scheduled Monday–Friday hours, with flexibility for overtime or company events as needed.
