Towne Kids is hiring an Immigration Coordinator to manage the end-to-end immigration and licensure process for Towne Kids’ international nursing staff. Based on-site in Howell Township, this role works closely with the Philippines-based recruitment team and our retained immigration attorney. This role prepares USCIS petitions, tracks all filing timelines, oversees state nursing licensure, and coordinates the logistics of nurse deployment from the Philippines to the United States.


Towne Kids is looking for someone who is highly organized and dependable, with a strong track record of managing detailed, time-sensitive work accurately. This role requires comfort working independently and across time zones, along with responsiveness in asynchronous communication. The right candidate brings strong cross-cultural awareness and a genuine interest in supporting international nurses through a complex transition process. They proactively surface issues early, think in terms of systems and workflows, and naturally document, organize, and improve the processes they touch.

Key Responsibilities


Immigration Case Management

  • Prepare and organize USCIS petition packages for timely submission, in coordination with the immigration attorney.
  • Track all immigration case milestones, deadlines, and filing windows across the full nurse cohort; proactively flag delays or at-risk timelines.
  • Review, organize, and maintain immigration documents with a high degree of accuracy; ensure all records are current and properly filed.
  • Serve as the primary internal point of contact for immigration case status; communicate clearly with nurses, the Philippines team, and leadership.
  • Coordinate directly and consistently with outside immigration counsel; follow attorney direction on all legal filings and case strategy.

Licensure Coordination

  • Manage the state nursing licensure process for incoming nurses, tracking each application from initiation through board approval.
  • Gather required documentation from nurses and coordinate with state boards to ensure licensure is secured prior to deployment.
  • Maintain a real-time licensure tracking system; monitor renewal dates and upcoming requirements.

Deployment Coordination

  • Coordinate the logistics of nurse deployment from the Philippines to the United States, including travel planning, arrival support, and onboarding handoffs.
  • Ensure that new international staff are connected to the appropriate teams and resources as they acclimate to their new roles and new community.
  • Liaise with the Philippines team on scheduling, documentation readiness, and pre-departure requirements.
  • Work across HR and Clinical leadership to align deployment timing with operational staffing needs.

Systems and Process

  • Maintain accurate records in Quickbase (or comparable tracking platform); identify opportunities to improve tracking and workflow efficiency.
  • Support process documentation and contribute to building out internal immigration and licensure workflows over time.
Requirements:

Qualifications

  • High school diploma or equivalent required; associate’s or bachelor’s degree in a related field (Business Administration, Human Resources, International Studies, etc.) preferred.
  • Experience in immigration case coordination, HR administration, healthcare operations, or a comparable role with high-volume document management.
  • Demonstrated ability to track complex, multi-step processes across many individuals simultaneously without errors or missed deadlines.
  • Strong written and verbal communication skills; ability to communicate clearly with international team members across cultural and linguistic differences.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); comfort with spreadsheet-based tracking.
  • Ability to handle confidential information with discretion and maintain strict data accuracy standards.

Preferred Qualifications

  • Prior experience with USCIS petitions, EB-3 visa processes, or employment-based immigration workflows.
  • Familiarity with nursing licensure processes and state board requirements.
  • Experience working with or supporting Filipino or other internationally recruited healthcare professionals.
  • Experience with Quickbase or a similar workflow and database platform.
  • Interest or background in programming or software development; Towne Kids uses Quickbase and is actively building out its internal systems infrastructure.

Physical Requirements

  • Primarily desk-based with extended periods of sitting and working on a computer.
  • Regular communication via phone, video conferencing, and in-person.
  • Occasional local travel to job fairs, nursing schools, or healthcare facilities.
  • Visual acuity to read and interpret applicant documents and digital platforms.
