We are seeking an exceptional Executive Assistant to provide high-level, strategic support to our CEO and members of the executive team. This role goes beyond traditional administrative duties, serving as the operational backbone for our executive team and functioning as a critical liaison between leadership and all internal/external stakeholders. The ideal candidate will be a polished professional who anticipates needs, solves problems proactively, and ensures flawless execution of all executive priorities.
What You'll Do:
Executive Support

  • Manage complex calendars and priorities for CEO and other executives.
  • Prepare briefings and meeting materials.
  • Handle confidential information with discretion.
  • Proactively resolve scheduling conflicts or priority clashes.
Travel & Logistics
  • Book and coordinate all travel (domestic/international), accommodations, and detailed itineraries.
  • Optimize travel productivity; manage loyalty programs.
  • Handle all travel-related expenses, receipts, and reconciliation.
Meeting & Event Management
  • Assist in planning and executing external guest visits, board meetings, company all-hands and other NY office events.
  • Coordinate vendors, venues, logistics, and run-of-show documentation.
  • Maintain project docs, manage resources and budget.
  • Implement best practices for executive-level project execution.
Office Management
  • Oversee the management and productivity of our office manager and step into the role of an office manager when they are out of office or unavailable to ensure 24 hour coverage.
  • Coordinate with our office manager to oversee all NYC office logistics and budget: facilities, vendors, supplies, seating, snacks.
  • Maintain a professional, compliant, and welcoming environment.
  • Plan office celebrations and team engagement events.
What We're Looking For:
  • 5+ years senior executive support experience.
  • Mastery of Microsoft Suite and travel platforms.
  • Proven success planning large events and managing office operations.
  • Willingness to be available after hours and weekends when needed.

Where You'll Work:
This is an onsite role, open to all who reside within a commutable distance from midtown Manhattan, NYC. You will enjoy working in our beautiful new headquarters, located near the Grand Central Terminal.
