Summary: Provides comprehensive logistical, administrative, and travel support
to the Office of Secure Transportation (OST) Recruiting Branch. Responsible for
the full lifecycle of applicant travel, secure escorting, and administrative
operations.
Major Duties & Responsibilities
- Travel Coordination & Processing: Coordinate all travel arrangements for
Federal Agent applicants. Build traveler profiles, determine optimal travel modes,
and clearly communicate eligible expenses to candidates.
-Travel Authorization (TA) & Voucher (TV) Management: Process a high
volume of TAs and TVs in Concur in compliance with Federal Travel Regulations
(FTR) and agency policies. Track statuses via spreadsheets to ensure
reimbursement processing within five business days.
-Applicant Transportation & Secure Escort: Serve as the primary point of
contact for applicant logistics. Operate government-owned vehicles (sedans,
vans, SUVs) to transport and escort applicants to, from, and within secure
facilities on Kirtland Air Force Base. Manage vehicle logs, refueling, and
maintenance reporting.
-Administrative Branch Support: Maintain applicant tracking spreadsheets,
generate ad hoc reports and metrics, review monthly travel budget reports, and
perform daily administrative tasks to support recruiting operations.
Requirements:
Required Knowledge, Skills, & Abilities
-Travel Regulations: Expert knowledge of Federal Travel Regulations (FTR),
DOE, and OST travel policies.
-Systems Proficiency: Hands-on experience using government travel systems
(e.g., Concur) and Microsoft Office Suite (Word, Excel).
-Security & Escort Protocols: Understanding of secure federal facility access
and escort procedures.
-Logistics & Problem-Solving: Ability to operate government vehicles safely and
resolve sudden travel delays or schedule shifts under time constraints.
-Communication: Strong oral and written communication skills to guide
applicants through complex travel rules and coordinate with agency personnel.
Work Environment & Physical Demands
-Work Environment: Divided between a standard professional office setting and
active driving/escorting duties in the local area and Kirtland Air Force Base
(exposure to normal traffic hazards).
- Physical Demands: Primarily sedentary desk work, combined with regular
periods of walking, standing during escorts, and driving government vehicles.
Must be able to carry light items (laptops, files).
Supervision & Guidelines
-Supervision: Works independently to plan and execute tasks under general
supervisory objectives. Routine coordination and problem-solving are handled
autonomously; major policy deviations or unprecedented issues are referred to
the supervisor.
- Guidelines: Governed by highly detailed, established rules (FTR, DOE/OST
travel policies, base security protocols). Judgment is required to select and apply
the correct guidance to resolve travel issues while maintaining strict regulatory
compliance.
Minimum Qualifications:
- Clearance: Must attain a Department of Energy (DOE) "L" Security Clearance
