Job description

Provides specialized professional support services to administrators and/or project managers in the administration of research and/or administrative projects. Assists in the administration and coordination of a variety of research and/or administrative projects including planning, budgeting, organizing, research and delivery of services. Coordinates and supervises work assignments of other administrative personnel as assigned. Collaborates with project stakeholders from across various departments to achieve project goals.
Departmental Specific Summary
The Project Specialist will provide both administrative and technical IT support to the Department of Surgery staff and faculty. He or She will makes day to day administrative, technical and operational decisions on his/her behalf when needed and appropriate, while working with the clinic managers and Regional operations Director for the Department of Surgery.
Essential Duties

  • Provide administrative and technical support to the Department of Surgery staff and faculty. Makes day to day administrative, technical and operational decisions on his/her behalf when needed and appropriate.
  • Establishes priorities and ensures deadlines are met. Establishes and maintains record-keeping systems and procedures as it relates to all technology within the department.
  • Communicate any interviews, feedback, and/or conversations with candidates to the recruiters and hiring managers.
  • Prepares all staff regarding all IT Training and systems.
  • Reviews and prioritizes all incoming correspondence. Determines actions required and follows through to completion.
  • Interacts with the IT department regarding all updates and new initiatives within all of their IT systems. Coordinates training with all new rollout systems.
  • Troubleshoots and Facilitates communication between executive and his/her direct reports, as well as the help desk and IT for all hardware and software applications that have issues. Assesses and prioritizes the urgency of situations and determines action.
  • Work with external vendors, system owners, community partners, contractors and Health Science Campus leadership to design, develop, implement and make operational information systems.
  • Identify and document information technology design specifications based on analysis/assessment of user needs and generate need-gap analyses
  • This person will use sound knowledge to generate and develop system scope and objective, analyze and evaluate existing or proposed systems and devise or modify procedures to solve problems using data processing.
  • Plans meetings and trainings hosted by IT for the department.
  • Research and gather data from various sources and databases. Creates SharePoint sites and other technology advancements to help efficiency regarding operational throughput for the clinic and department.
  • Performs other related duties as assigned or requested.


Required Qualifications:

  • Req High School or equivalent
  • Req Bachelor’s Degree Degree in a related field
  • Combined experience/education as substitute for Bachelor's Degree
  • Req 1 year 0 – 1 years; preferably in an academic institution, Hospital or Medical Organization
  • Req Excellent working knowledge of acute care demographics, clinical data elements, statistical analysis and data entry.
  • Req Must be detail oriented.
  • Req Excellent skills in use of personal computer software programs including but not limited to MS Word, PowerPoint, and Excel.
  • Req Must be well-organized and work independently with minimal direction.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The hourly rate range for this position is $26.00 - $41.28.
