Job description

Human Resources Assistant

Oversee and maintain the District staffing process to include vacancy advertisement, applicant databases and internet recruitment. Assist and advise with licensure issues and questions.

Essential Duties and Responsibilities:

  • Responsible for all vacancy postings and distribution to include advertising with newspaper, agencies, and the district's job vacancy webpages.
  • Maintain multiple spreadsheets to ensure accurate reporting of District status.
  • Provide reports for district administrators of available applicant and vacancy information by creating computer queries.
  • Communicate with applicants regarding vacancies via phone, e-mail and in person.
  • Answer questions regarding application process district's hiring policies, job requirements and salary schedules.
  • Assist with and provide information in response to questions regarding new licensure, alternative licensure, licensure renewal, emergency licensure.
  • Maintain the electronic application system and computer database.
  • Update existing information and application status.
  • Receive and distribute electronic requisition forms for vacancies and employment actions.
  • Provide backup support for the Human Resources Department by performing receptionist and customer service information duties as necessary.
  • Administer fingerprinting and pre-employment testing as needed.
  • Communicate with district administrators and supervisors regarding vacancy requests, vacancy postings, interview process and applicant files.
  • Assist with interview packages, interview process and interview forms.
  • Maintain post-interview hiring records.
  • Manage and maintain user records in the applicant system.
  • Perform document imaging to provide backup and historical data for fingerprint and hiring processes, as needed.
  • Conduct all background checks and ensure pre-employment fingerprinting requirements are completed as required.
  • Inform appropriate Human Resources administrators of negative reports.
  • Maintain the fingerprint and background check database.
  • Perform other duties as assigned.

Qualifications:

  • High school diploma or equivalent, plus specialized courses in computer software and basic accounting skills.
  • Over two years' experience in clerical/secretarial work, technology and customer service skills.
  • Basic math, writing, communication, and accounting skills.
  • Basic knowledge of internet, word processing, data entry, and basic computer programs including: Windows and MS Office.
  • Good organizational and interpersonal skills required.
  • Must be able to multi-task, prioritize, transcribe phone messages and maintain confidentiality.
  • Typing skills of 45 wpm required.
  • Criminal background check and District fingerprinting required.
