Overview of the Role
Groove Technology Solutions delivers technology solutions that improve the experience, efficiency, and quality of life for residents and guests in multifamily and hospitality properties.
The Retrofit Project Manager is responsible for managing the successful delivery of retrofit technology projects from project handoff through completion. This role manages projects involving multiple technology solutions and, when appropriate, single-product deployments. The Retrofit Project Manager serves as the primary point of coordination between the customer, Sales, Deployment Management, technical teams, vendors, contractors, and other internal teams.
This role requires strong project management, communication, organization, and problem-solving skills. Retrofit projects often involve existing properties, existing infrastructure, multiple technologies, and unforeseen field conditions. The Project Manager must be able to identify risks early, manage changes to scope, schedule, and budget, and keep projects moving while maintaining a strong customer experience and protecting project profitability.
What You'll Do
  • Own multiple retrofit projects simultaneously from project handoff through final completion and closeout.
  • Manage projects involving multiple technology solutions, as well as occasional single-product deployments.
  • Develop and maintain project scope, schedule, budget, documentation, and project milestones.
  • Coordinate internal and external resources to ensure projects are properly staffed and scheduled.
  • Serve as the primary point of communication for customers throughout the project lifecycle.
  • Coordinate closely with Deployment Managers, technicians, contractors, vendors, Sales, and internal operations teams to ensure successful project execution.
  • Review project scope and documentation to understand what was sold and establish clear expectations for all parties.
  • Identify scope gaps, project risks, site conditions, and potential cost impacts early in the project.
  • Manage Change Orders from identification through customer approval and completion.
  • Track estimated versus actual project costs and proactively identify potential impacts to Gross Profit.
  • Ensure work performed in the field aligns with the approved scope and project budget.
  • Manage project schedules, including installation dates, resource assignments, travel requirements, customer coordination, and project dependencies.
  • Monitor project progress and proactively address delays, obstacles, and resource constraints.
  • Coordinate multiple technology deployments and understand how dependencies between technologies can impact the overall project.
  • Review field feedback and installation documentation to ensure issues are addressed accurately and efficiently.
  • Escalate project risks and financial concerns appropriately and with enough lead time to take corrective action.
  • Maintain accurate project information in Salesforce and other required systems.
  • Ensure required project documentation, customer approvals, and closeout requirements are completed.
  • Balance customer needs with internal operational requirements, project profitability, and contractual obligations.
  • Deliver a professional and consistent customer experience while maintaining accountability for project outcomes.
  • Meet or exceed established performance standards related to project completion, customer experience, schedule, budget, and profitability.
  • Other duties as assigned.

What You Bring
  • 3+ years of project management experience preferred; experience managing technology, construction, telecommunications, low-voltage, access control, networking, or similar retrofit projects is highly preferred.
  • Experience managing multiple projects simultaneously with competing priorities and deadlines.
  • Strong understanding of project scope, scheduling, budgeting, and cost management.
  • Ability to understand and manage projects involving multiple technology solutions and installation dependencies.
  • Strong written and verbal communication skills with the ability to communicate effectively with customers, technicians, contractors, vendors, and internal leadership.
  • Strong organizational skills and attention to detail.
  • Ability to identify problems, evaluate options, and make sound decisions without always having complete information.
  • Comfortable managing difficult conversations, customer expectations, project delays, and scope changes.
  • Strong follow-through and accountability for assigned projects.
  • Ability to recognize when a project is at risk financially or operationally and take action before the issue becomes larger.
  • Strong computer skills and ability to quickly learn Salesforce, scheduling platforms, vendor portals, and other project management systems.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities.
  • Ability to work independently while collaborating effectively with cross-functional teams.
