Job description

Purpose

The Academic Administrative Assistant reports to the Vice President of Students and Instructional Services, and supports the academic team including the Dean of Instruction and the Registrar. The Academic Administrative Assistant works with the Academic team with reporting, systems management, and the creation of documents. This position is a front-facing, welcoming guests to campus and may provide front-line customer service as needed.


Minimum Qualifications

Associate's Degree preferred

Demonstrated understanding of, and a commitment to: the college mission and purpose; teaching and learning; high academic standards; and, student success

Knowledge and experience using integrated software systems and Microsoft applications (with proficiency in MS Word, Outlook, , Excel, PowerPoint and Teams)

Ability to work effectively with a diverse student population

Demonstrated organizational skills with attention to detail

Oral and written communication skills

Pre-employment background screening

Physical Requirements/Environmental Conditions

While performing the duties of this job, the employee is regularly required to stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard

Specific vision abilities required by this job include close vision requirements due to computer work

Occasional light to moderate lifting, less than 50lbs

May require some travel

Occasional stress due to deadlines and/or dealing with unpleasant or angry people

Indoors, environmentally controlled


Job Duties & Essential Functions

Regular attendance and timeliness

Provide high quality, student focused, customer service

Assist in maintaining and updating student information in College systems including transcriptions, records, documents, etc.

Support the Registrar in preparation of degree audit

Assist with preparation for commencement and diploma preparations

Assist in preparation of state and federal reports

Assist in the management of academic systems, such as the online bookstore and other software applications.

Schedule and organize routine meetings

Prepare meeting minutes as applicable

Collect and compile information for inclusion in reports

Assist with the publication and maintenance of academic handbooks and the college catalog

Answering incoming calls and taking/relaying messages when appropriate

Serve on college wide committees as needed or assigned.

Maintains confidentiality of information exposed to in the course of business regarding students, supervisors or other employees

Other duties as assigned by the Vice President of Students and Instructional Services.
