Nautilus Health Management is searching for a full-time Intake Coordinator in Irving, TX. The hours are Monday through Friday from 8:30am - 5:30pm.


Summary:

The Intake Coordinator serves as the first point of contact for new patients and referral partners. This role manages the referral intake process, verifies eligibility, and ensures all necessary documentation is completed to begin services. The Intake Coordinator supports a seamless, compassionate, and efficient onboarding experience for every patient referred to Nautilus Health.

Key Responsibilities:

  • Receive and process incoming referrals from providers, hospitals, and partners.
  • Review referrals for completeness, eligibility, and service appropriateness.
  • Verify insurance information, authorizations, and clinical documentation requirements.
  • Communicate with referral sources and internal teams to resolve missing or incomplete information.
  • Enter accurate data into electronic systems and maintain up-to-date patient records.
  • Coordinate scheduling and onboarding logistics with clinical and operational staff.
  • Ensure timely communication and professional service throughout the intake process.
  • Maintain confidentiality and compliance with all HIPAA and company standards.
  • Support process improvement initiatives and participate in team meetings.

Qualifications:

  • High school diploma or equivalent required; Associate or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
  • Minimum 2–3 years of experience in healthcare intake, scheduling, or patient services.
  • Knowledge of insurance verification, referral processing, and medical documentation.
  • Strong computer skills and familiarity with EMR or CRM systems.
  • Excellent communication, attention to detail, and organizational skills.
