Position Summary

The Pre-professional Health Sciences (PHS) department in the College of Health Professions is seeking to fill a full-time Coordinator position to join the team responsible for the Biomedical Sciences (BMS) program and the Pre-matriculation Program (PMP) within the department. The Coordinator will assist the faculty in facilitating the academic and administrative goals of the PHS Department. The Coordinator will also support PHS students in matters related to their success and progression throughout their enrollment.

Essential Duties & Responsibilities

  • Manage all PHS course-related activities including scheduling, room assignments, lecture recording, and any other course-specific needs (including ensuring in real-time that lectures are being delivered and captured as needed).
  • Collaborate with Course Directors and lecturing faculty in the management of D2L course shells for each course, which includes collecting course materials for upload to corresponding D2L courses by exam block.
  • Facilitate testing requirements for students with accommodations.
  • Be an asset and a resource to students in the department by being a point of contact and available to students, monitoring day-to-day operations of the department
  • Maintain the department file management system.
  • Utilize and continue to refine the Coordinator’s operational procedures manual.
  • Manage the department budget by processing check requests, reconciling Concur activity, and monitoring expenditures to ensure the department remains within approved budget allocations
  • Maintain a service oriented and professional relationship with all university community members.
  • Provide technical assistance related to computer programs and technology that will benefit the department.
  • Provide administrative support for the department Chair and PHS faculty as determined by the PHS Chair.
  • Perform other job-related duties as assigned or delegated by the PHS Chair.

Required Education & Experience

  • High school diploma or GED.
  • 3+ years in an administrative support role or prior experience in education.

  • Ability to work independently and multi-task managing time and workload effectively which includes: planning, organizing, and prioritizing with attention to details, and collaborating with a variety of stakeholders.
  • Excellent time management and organizational skills.
  • Ability to think critically and problem-solve in a variety of circumstances.
  • Demonstrate strong professional judgment and ability to take initiative.
  • Ability to maintain confidentiality as needed for all aspects of the program and students issues/concerns.
  • Strong computer software use skills for a variety of university software programs (e.g. D2L, Panopto, Zoom, MS word, Google Suite, AI).
  • Excellent written and verbal communication skills, including strong editing, proofreading.

  • Baccalaureate degree.
  • 3 – 5 years experience providing administrative support in a higher education or healthcare environment.
