Job description

The School of Dentistry shares the mission of the Oregon Health & Science University to provide educational programs, basic and clinical research, and high quality care and community programs. The dental school prepares graduates in general dentistry and the dental specialties to deliver compassionate and ethical oro-facial health care.

This position provides complex administrative support to the department of Restorative Dentistry and Biomaterial and Biomedical Sciences. This position requires decision making based on knowledge of the School of Dentistry policies and procedures.

The Administrative Coordinator provides reliable administrative support to with an emphasis on advanced technical knowledge, data collection and analyses, and ability to coordinate administrative work and activities to ensure a smooth flow of services and operations. As the largest department in the school of Dentistry, the department of Restorative Dentistry houses approximately 55 full-time, part-time and faculty volunteers. The Biomaterial and Biomedical Sciences include approximately 25 faculty members. Faculty actively contribute to all missions of the School of Dentistry, including education, research, patient care, and service.

Job duties include: Direct education software support to faculty and staff, including maintaining records, calendaring and tracking faculty work assignment schedules, department recruitment, onboarding and orientation, compliance tracking, time keeping, IT contact for department, travel and lecturer arrangements, and expenditure tracking. 


  • Four years of general office or secretarial experience; OR
  • An Associate's degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
  • A Bachelor's degree and two years of general office or secretarial experience; OR
  • An equivalent combination of training and experience. Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience. Contact Compensation for confirmation of eligibility
  • Strong MS Office skills including Outlook, Word, Excel, and PowerPoint
  • Demonstrated proficiency in OHSU Systems: Oracle, Aceyus, SharePoint, MS Teams,Smartsheets, ExamSoft, Sakai, Epic, axiUm, QGenda and Kronos
  • Ability to manage continual complex scheduling
  • Web editing experience ¿ Excellent communication skills with demonstrable customer service experience
  • Previous scheduling, travel arrangement and expense reimbursement experience
  • Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employers
  • Demonstrated exemplary tact, discretion, confidentiality and diplomacy
  • Demonstrated ability to read, write and understand written and oral instructions in English.
  • Demonstrated record of exemplary customer service experience
  • Exposure to clinical, educational, and research areas
  • May come in contact with patients and research subjects
  • This position will be primarily onsite, Monday-Friday 8-5, though hours may vary with department needs and events
