Job description

Customer Service Representative & Dispatcher
Monday-Friday | 8:30 AM-5:00 PM | No Nights or Weekends
A Workplace Where You're Actually Part of the Team
At Aire Serv of Madison, we do things differently than the big, corporate HVAC companies in the area. We're a locally owned and operated team of about 20 people, and we've built a workplace where people know each other, help each other, and have a real voice in how we operate.
This isn't a call center where you're answering phones all day and being measured by how quickly you can get someone off the line. Our Customer Service & Dispatch team is a critical part of our daily operation. You'll know our technicians, understand what's happening in the field, build relationships with our customers, and work directly with management to keep the day running smoothly.
Have an idea for making something better? We want to hear it.
We work hard, we help each other, and we also have a lot of fun doing it.
Your Next Position
We're looking for a Customer Service Representative & Dispatcher to join our team in McFarland.
You'll be one of the first people our customers interact with and the person our technicians rely on to help keep their days organized. This position combines customer service, scheduling, dispatching, organization, and problem-solving.
If you enjoy talking with people, keeping things organized, solving problems, and being part of a busy team where no two days are exactly the same, this could be a great fit.
What's In It for You
  • Competitive Pay: Starting at $21+/hour, based on experience.
  • Consistent Schedule: Monday-Friday, 8:30 AM-5:00 PM.
  • Health Insurance: Aire Serv covers 95% of the employee premium.
  • Dental Insurance: Aire Serv covers 50% of the employee premium.
  • Life Insurance: $10,000 policy fully covered by Aire Serv.
  • Retirement: 401(k) with company match up to 3%.
  • Paid Time Off: Paid vacation time plus 6 major paid holidays.
  • Company Clothing: Aire Serv-branded clothing provided.
  • Year-Round Stability: HVAC doesn't stop when one season ends. This is a stable, year-round position.
  • Company-Funded Fun: Seasonal outings, team activities, birthday celebrations, and other events throughout the year.

What You'll Do
You'll help keep our customers, technicians, and office team connected throughout the day.
  • Take Care of Our Customers: Answer incoming calls with a friendly, professional attitude and help customers determine what they need.
  • Schedule Appointments: Book service, maintenance, estimates, and other appointments while helping build efficient technician schedules.
  • Dispatch Technicians: Communicate with our field team throughout the day and adjust schedules when things inevitably change.
  • Follow Through: Make outbound calls, follow up with customers, and make sure important items don't fall through the cracks.
  • Manage the Details: Maintain accurate customer information, work orders, maintenance agreements, warranties, and scheduling information.
  • Support the Team: Work directly with technicians, management, and other office staff to solve problems and keep operations moving.
  • Help Us Grow: Assist with sales and marketing follow-up and help identify opportunities to better serve our customers.
  • Plan Ahead: Help coordinate daily, weekly, and monthly technician schedules so we're prepared instead of constantly reacting.

"See a Need, Fill a Need"
This is a big part of who we are.
We're a versatile team of about 20 people, which means we don't operate with a "that's not my job" mentality. Your primary responsibility will be customer service and dispatching, but when someone needs help, we step in for each other.
Sometimes that means helping another CSR catch up on calls. Sometimes it means helping organize something for the technicians or jumping into an administrative project.
Everyone contributes, and that teamwork is a big reason our company works as well as it does.
What You Bring to the Table
  • Great Communication: You're comfortable talking with customers and coworkers and can communicate professionally even when things get busy.
  • Customer Service Mindset: You genuinely enjoy helping people and finding solutions.
  • Organization: You can manage multiple schedules, calls, follow-ups, and priorities without losing track of the details.
  • Problem-Solving: When the schedule changes or something unexpected happens, you don't panic-you figure out the next best move.
  • Computer Skills: You're comfortable learning software and working with programs such as Microsoft Office.
  • Accountability: You follow through on what you say you're going to do.
  • Team Mentality: You're willing to help your coworkers and aren't afraid to ask for help when you need it.
  • Positive Attitude: You can take feedback, communicate openly, and contribute to a workplace people actually enjoy being part of.

HVAC experience is helpful, but it is not required. We can teach you HVAC and our systems. We're much more interested in finding someone with the right personality, work ethic, communication skills, and willingness to learn.
Why Aire Serv of Madison Is Different
You're Not Just a Number.
We're locally owned and operated. You'll work directly with the people making decisions-not layers of corporate management.
Your Ideas Matter.
If you see a better way to do something, speak up. Some of our best processes have come directly from employees who said, "Why don't we try this?"
We Actually Work as a Team.
The office and field aren't two separate worlds here. You'll know the technicians you're dispatching and work with them every day.
Your Evenings Are Yours.
Your regular schedule is Monday-Friday, 8:30 AM-5:00 PM. No nights and no weekends for this position.
We Like to Have Fun.
We work hard, but we're not an uptight office. We celebrate birthdays, plan company-funded outings, laugh together, and genuinely enjoy the people we work with.
We're Stable and Growing.
Aire Serv of Madison provides residential and commercial HVAC service, maintenance, installation, new construction, and indoor air quality services throughout the Madison area. That diversity helps provide stable, year-round work.
Ready for Something Different?
If you're looking for a customer service position where you can know the people you work with, have a voice in the company, build relationships with customers, and actually make an impact on the day, we'd love to meet you.
We are actively interviewing now.
Apply today to be considered for our Customer Service Representative & Dispatcher position at Aire Serv of Madison.
