Job description

JOB SUMMARY:
The Receptionist, reporting to the billing manager, will be responsible for answering incoming calls,
directing calls to appropriate staff, mail distribution and providing additional clerical support. The
Receptionist is the first point of contact for the entire organization, which requires a positive attitude and
polished, professional appearance. This position will multi-task a variety of front office activities.
Responsible for confidential and time sensitive material
ESSENTIAL DUTIES AND RESPONSIBILITIES
Welcoming on-site guests, determining the nature of business, and announcing guests to
appropriate personnel.
Answering incoming telephone calls, determining the purpose of callers, and forwarding calls to
appropriate personnel or department.
Taking and delivering messages or transferring calls to voicemail when appropriate personnel are
unavailable.
Scheduling conference room.
Assist administrative assistants with clerical duties to include faxing, copying, and
organizing/maintaining files.
Coordinate with vendors and services they provide.
Ensure main voicemail reflects office closings, special events as well as posting office closed
signs.
Answering questions about organization and providing callers with address, directions, and other
information requested.
Receiving and forwarding incoming faxes.
Receives, sorts and distributes mail.
Coordinate repairs to office equipment
Process all Subpoenas from Attorney, Police and/or Patient
Process bank deposits
Carry out administrative duties such as filing, typing, coping, binding, scanning etc.
Other duties as assigned

High School diploma
Proven Admin or assistant experience
Knowledge of office management systems and procedures
