Services Lead, Modern Pentathlon Position Summary

Within this division, LA28 is looking for a Modern Pentathlon Services Lead. Under the authority of the Modern Pentathlon Sport Manager, the Sport Services Lead is responsible for the planning, organization, coordination, and management of the administrative functions of Modern Pentathlon events (Fencing, Swimming, Obstacle, and Laser Run) at the Los Angeles 2028 Olympic Games

The Sport Services Lead will need to relay and facilitate critical services for key stakeholder groups, such as athletes, the Union Internationale de Pentathlon Moderne (UIPM), and technical officials. They will also coordinate sports information with the various divisions of LA28, participate in the planning and operations of multi-discipline test events, coordinate the recruitment of sports staff, as well as the recruitment and training of the specialized volunteers needed for competitions in their sport.

Key Responsibilities Pre Games Responsibilities
  • Plan, coordinate, and be the dedicated sport contact person in organizing visits from the Union Internationale de Pentathlon Moderne (UIPM) in coordination with the Services Team and Head of Competition Management.
  • Act as the dedicated sports contact for coordinating services-related matters with the UIPM, including accommodation, transportation, accreditation, and hospitality.
  • Advocate for and coordinate all sport stakeholders’ services including Modern Pentathlon Athletes, Technical Officials, UIPM Staff and UIPM guests.
  • Create and ensure organized follow-up of the sharing of databases related to key topics of the Sport Delivery Plan between the UIPM and the various departments of LA28.
  • Serve as the primary point of contact for NOC services teams to establish an effective communication channel in preparation for their visits and information requests.
  • Support the Modern Pentathlon Sport Manager to ensure that all operational procedures and processes of LA28 are understood and followed.
  • Collaborate with the Modern Pentathlon Sport Manager and the head of technical operations for the coordination of the teams and administrative operations: monitoring, updating, and sharing the database and various resource documents, planning management, and of the organization, team meetings, etc., across the complex, multi-discipline venue footprint.
  • Work closely with the Sport Manager, the technical operations lead, the National Federation (USA Pentathlon), and the LA28 Workforce team to recruit, train, and ensure the operational management of sport-specific volunteers.
  • Collaborate with the Sport Manager and the technical operations lead to recruit, train, and deploy the team responsible for delivering the Fencing, Swimming, Obstacle, and Laser Run competitions.
  • Work closely with the Sport Manager, the UIPM, and the National Federation (USA Pentathlon) for the selection and training of the National Technical Officials (NTOs) required for the Olympic Games.
  • Manage all other tasks and projects related to the delivery of Modern Pentathlon competitions as requested by the Sport Manager.
  • Collaborate with the UIPM Services and Relations Manager to ensure sharing of information and tools with the services team and other stakeholders.
Games Time Responsibilities
  • Coordinate the following matters within modern pentathlon during the Los Angeles 2028 Olympic Games:
  • Services for athletes, including the management of the transition area, call rooms, and other dedicated preparation spaces for the Fencing, Swimming, Obstacle, and Laser Run disciplines.
  • Services for the Union Internationale de Pentathlon Moderne (UIPM), including overseeing UIPM back-of-house (BOH) offices, meeting spaces, and VIP coordination.
  • Services for international and national officials (ITOs/NTOs), including dedicated transport, catering, dressing rooms, & sport manual documentation.
  • Sport Information, ensuring the accurate, real-time dissemination of complex multi-event schedules, transport plans, and training worksheets to delegations.
  • Volunteers assigned to support competitions across all five disciplines.
  • Manage a team of full-time employees (including specialized coordinators for Admin & Sports Information, Athlete & Team Services, and IF & Technical Officials) including scheduling, task delegation, training and on-site management.
  • Manage a team of Modern Pentathlon Sport Specific Volunteers including recruitment, retention, training, scheduling, recognition and task delegation.
  • Act as point of contact with LA28 Functional areas to solve Games Time issues arising across the multi-discipline venue footprint.
  • Act as point of contact with the UIPM team to identify and solve Games Time issues.
Background and Requirements
  • Experience collaborating with National and International Federations and knowledge of their structure and functioning during national and international events.
  • Ability to demonstrate an understanding and knowledge of the operational elements required for organizing major sports events/competitions, particularly those involving complex schedules, multiple disciplines, or dynamic venue transitions.
  • Experience in international sporting events, with experience in multi-sport or multi-discipline events highly preferred.
  • Experience in working with an International Federation and knowledge of their structure and operation is an advantage.
  • Experience of working with a National Sport Federation and knowledge of its structure and operation at domestic and international events is an advantage.
  • Experience managing a team (staff and volunteers) at major events.
  • Good understanding and knowledge of project management, including planning and producing tracking documents.
  • Ability to manage multiple projects involving numerous stakeholders.
  • Skills in report writing and presentation materials.
  • Knowledge of the Olympic Games as well as Modern Pentathlon's technical requirements is an advantage.
  • Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint, as well as Outlook, Teams, SharePoint).
  • Excellent level of English, both written and spoken, is essential for this position.
  • Long-term interest and involvement in Olympic sports.
Physical Requirements and Working Conditions
  • Available to work onsite in our Downtown Los Angeles-based office.
  • The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment.
  • The LA28 office is an open floorplan working environment; employees must be able to work efficiently in an open cubicle environment.
  • Hours of work may vary, including evenings, weekends, and holidays, especially during peak event periods.
  • Perform other duties as required; the role will evolve over time and may include operational responsibilities during the Olympic and Paralympic Games.
