Our services are designed to be holistic, geographically accessible, culturally sensitive, and coordinated with other related service systems, both formal and informal. Community Council has a long history of providing mental health services to Philadelphia residents and is one of the City of Philadelphia's original 12 Base Service Units. We provide a range of mental health and substance abuse direct services and case management. The organization has a diverse staff of 200 that deliver evidenced based services in a culturally competent manner.

GENERAL OVERVIEW OF KEY ROLES & RESPONSIBILITIES:
The role of Administrative Support is to greet clients, manage phone calls, schedule appointments, and maintain accurate records in the EHR system. They verify insurance, collect payments, support billing needs, and ensure all required paperwork is completed and organized. They facilitate communication with families and referral sources as permitted, assist clinicians with documentation needs, and help maintain smooth daily clinic operations by tracking attendance and updating consents. They provide professional, trauma-informed customer service while protecting client confidentiality and adhering to all HIPAA and age
ESSENTIAL CORE FUNCTIONS AND RESPONSIBILITIES
  • Regularly communicates and collaborates with all agency programs who have identified potential consumers in need of mental health services.
  • Process all referrals for children services
  • Responsible for running EVS to check eligibility and then registering the client in Credible as well as updating the contacts section.
  • Assist with scheduling the intake appointment.
  • Contacts family via telephone as well as mail correspondents concerning the evaluation appointment.
  • Coordinate with program directors and inform them of any scheduled evaluation for consumers with in their program.
  • Coordinate with the transportation department to ensure clients are set for transportation to and from the evaluation.
  • Ensure consumers are enrolled properly (with updated and current information) in the Credible system.
  • Schedule the evaluations for no shows as well as contact the family.
  • All other duties as required.
  • Complete all recommendations CBR/CBE (except outside agencies)
  • Complete CBH Packets
  • Complete weekly late note reports
  • Complete monthly credible reports
  • Scan treatment plan signature pages
  • Resolve all Insurance issues(contact parents

Position Requirements
  • High School Diploma
  • Excellent Customer serbive skills
  • Two years of verified experience in the Health System.
  • Previous experience in the re-authorization / packet management processes preferable.
  • Knowledge of Credible billing system.
  • Candidate must have effective communication skills and an ability to form a trusting relationship with children/ adolescents, families, school administration, colleagues, co-workers and other agencies.

NOTE: this position is 100% on site. Monday- Friday 9-5
