We're looking for a Billing & Administrative Specialist for our headquarters in Baton Rouge. This position reports to Renee Arthurs, Manager of Business Administration.

Position Summary

The Billing & Administrative Specialist is responsible for supporting the day-to-day administrative and billing functions of the company. This role manages client invoicing, timesheet administration, and general office operations while providing administrative support to company leadership. The ideal candidate has an outgoing personality, is organized, detail-oriented, comfortable working with numbers, and enjoys interacting with both clients and coworkers. This position requires someone who can manage multiple priorities, communicate effectively, and maintain a high level of accuracy in a fast-paced environment.

Key Responsibilities

Prepare, review, and process client invoices using QuickBooks Online. Upload invoices and supporting documentation through OpenInvoice and other client billing portals. Upload invoices into JH's proprietary project management system. Coordinate with Project Managers to ensure invoices are accurate, complete, and submitted on time. Audit timesheets for accuracy based on project parameters. Review and enter field employee timesheets for timely billing. Follow up on missing or inaccurate timesheets and billing information. Maintain organized billing, payroll, and administrative records. Answer incoming calls and greet clients, vendors, and visitors. Assisting with the onboarding of new employees. Coordinate office supplies, mail, shipping, and general office operations. Provide administrative support to leadership and assist with special projects as needed.

Required Qualifications

Five years' experience in billing, office administration, accounting support, or a related role. Microsoft Office Suite with Advanced Excel skills. Proficient using QuickBooks Online. Exceptional organizational and attention to detail. Excellent written and verbal communication skills. Ability to manage multiple priorities and meet deadlines. Professional, dependable, and customer-service oriented. Experience with OpenInvoice or similar owner billing portals is preferred. Experience in an engineering, construction, industrial, or professional services environment is preferred.
