Location

Hybrid opportunity in Chicago, IL. After an initial onsite training period of approximately one month, you'll enjoy working remotely two days per week while collaborating with the team in the office the remainder of the week.

Candidates must have at least 3+ years of Project Accounting or Project Billing experience within Civil Engineering, Architecture, Engineering, Construction (AEC), Consulting Engineering, or a closely related industry. Experience outside these industries will not be considered.

Job Description

  • Manage project accounting and project billing for multiple civil engineering projects.
  • Prepare monthly draft invoices and pre-bills using QuickBooks and AEC project accounting software.
  • Collaborate with Project Managers to review project budgets, burn rates, and billing accuracy.
  • Administer Time & Materials, Lump Sum/Fixed Fee, and Cost-Plus-Fixed-Fee billing contracts.
  • Ensure invoices comply with client contract requirements and agency guidelines.
  • Submit invoices through client and government e-billing portals while resolving billing issues quickly.
  • Monitor accounts receivable, aging reports, collections, and outstanding project balances.
  • Process payroll, review employee timesheets, and prepare payroll reports.
  • Track project costs, labor allocations, subcontractor expenses, and revenue recognition.
  • Maintain accurate financial records while supporting month-end project accounting activities.

Qualifications

  • 3+ years of Project Accounting or Project Billing experience.
  • Experience within Civil Engineering, AEC, Consulting Engineering, Architecture, or Construction is required.
  • Bachelor's degree in Accounting, Finance, or related field preferred.
  • Experience with QuickBooks required.
  • Experience with BQE CORE, Deltek Ajera, or similar AEC software preferred.
  • Strong Excel skills including Pivot Tables, VLOOKUPs, and formulas.
  • Excellent organizational, communication, and problem-solving skills.
  • Experience with public sector or DOT billing is a plus.
