Job Requirements
The District Office Receptionist supports the day-to-day operations of the District Office, serving as the first point of contact for visitors at the front entrance and on the main phone line, and assisting with the coordination of substitute teachers (Guest Educators). This position requires frequent public contacts in person, by telephone, or email and requires the application of established policies and procedures, but questions are referred to higher-level authority when a procedure has not been established. Other duties may include maintenance of confidential records, direct contact with students, parents/guardians, staff, and visitors. This position will require a wide variety of clerical tasks, which may require the use of various technologies.
To perform this job successfully, an individual must be able to perform each essential function satisfactorily. The requirements listed are representative of the knowledge, skill, ability, physical demands and working conditions required of this position. Job Qualifications

Direct Supervisor
Assistant Superintendent, may receive assignments from administrative personnel as required or assist with special projects as assigned by District administration.
Essential Functions & Responsibilities
  • Demonstrate support of the Oak Lawn-Hometown School District #123 Strategic Framework.
  • Uphold the established Board of Education policies, regulations, and administrative procedures.
  • Greet, screen, and direct visitors at the District Office entrance, monitoring door access in accordance with District security procedures.
  • Answer, screen, and route incoming phone calls and messages, providing accurate information or directing callers to the appropriate staff member.
  • Assist with the coordination and management of substitute teachers (Guest Educators), including scheduling support, communication, and recordkeeping.
  • May include recordkeeping, database management, document preparation, customer service, communication, and site support.
  • Assist administrator and other staff in planning and preparing for meetings, conferences, and workshops.
  • May apply knowledge of modern office methods, equipment, and practices, including letter and report writing, receptionist and telephone etiquette, and filing systems; correct English usage, spelling, grammar, and punctuation.
  • Handle incoming and outgoing mail.
  • Ensure appropriate security and safety methods are employed within the office.
  • May organize office workflow to meet deadlines.
  • Maintain confidentiality of student records, staff information, and program documentation.
  • Communicate and cooperate with colleagues, students, parents/guardians, and the community as needed to meet professional standards.
  • Participate in meetings and perform other responsibilities as assigned in accordance with the Board of Education.
  • Utilize time management techniques to organize and prioritize work.
  • Regular attendance and/or physical presence at the job.
Physical Demands
  • Ability to sit/stand for prolonged periods of time.
Terms of Employment
Status: Professional/Technical/Confidential (Non-Represented), Part-Time (25 hours per week, 12:00 PM-5:00 PM, Monday-Friday)
Months/Year: 12-Month

Performance in this position will be evaluated by the Assistant Superintendent or designee in accordance with the Board of Education's policy on Evaluation of Professional Personnel.
