Job Summary
We are looking for a highly organized, detail-oriented, and motivated Merchandising & Purchasing Assistant to support our growing beauty distribution business. In this dual-support role, you will assist in evaluating market trends, sourcing high-potential beauty products, and managing daily purchasing operations. You will work closely with upper management and vendors to maintain accurate product listings, process purchase orders, monitor inventory levels, and ensure a seamless supply chain from procurement to final delivery.
Job Description
  • Key Responsibilities
  • 1. Merchandising & Sourcing Support
  • - Assist in conducting market research and competitor analysis to identify upcoming beauty trends (e.g., K-beauty, viral social media products).
  • - Maintain up-to-date product master sheets, including SKU information, retail/wholesale pricing, and product specifications.
  • - Assist in organizing product samples and updating product portfolios for new brand launches.
  • - Monitor sales data and inventory sell-through rates to help identify items that require re-ordering.
  • 2. Purchasing & Vendor Coordination
  • - Prepare, process, and track purchase orders (POs) based on inventory needs and manager approvals.
  • - Serve as a primary point of contact for domestic and international vendors regarding order statuses, lead times, and shipping updates.
  • - Assist in collecting quotes (RFQs), comparing vendor pricing, and organizing supplier contract details.
  • - Follow up on vendor billing issues, ensuring payment terms and unit prices match approved purchase agreements.
  • 3. Inbound Logistics & Inventory Tracking
  • - Coordinate with freight forwarders, logistics partners, and customs brokers to track inbound shipments bound for the Chicago warehouse.
  • - Review and organize essential shipping documentation, including commercial invoices, packing lists, and bills of lading.
  • - Collaborate with the warehouse team to verify received shipments against original POs and report any damages or discrepancies immediately.
  • 4. Administrative & Team Support
  • - Act as a bridge between the purchasing department and the Marketing/Content Creation teams to communicate expected product arrival dates.
  • - Assist with general administrative tasks related to inventory control, data entry, and departmental record-keeping.
