Position Overview
We are seeking a detail-oriented Merchandise Assistant to support 2-4 Buyers and an AVP Merchandise Manager with a variety of administrative, purchasing, and merchandising functions. This role involves daily interaction with vendors, managing purchase orders, coordinating travel and meetings, maintaining reports and spreadsheets, and supporting merchandising operations.
Key Responsibilities
Purchase Order Management
  • Prepare and process domestic and import purchase orders.
  • Enter, review, and revise electronic purchase orders using Buyer Worksheet applications.
  • Track purchase order activity and ensure timely processing and completion.
  • Partner with Planning & Allocation teams to expedite and resolve PO issues.
  • Monitor ASN/EDI purchase order information and follow up with vendors as needed.
  • Review late shipment reports and communicate with vendors regarding delays.
  • Coordinate shipping extensions, cost negotiations, and shipment revisions with vendor approval.
  • Assist with resolving overages, shortages, chargebacks, and cost discrepancies.
  • Ensure compliance with internal approval processes and documentation requirements.
Vendor Relations
  • Serve as a primary point of contact for vendors regarding purchase orders, allocations, and order status.
  • Build and maintain strong vendor relationships through regular communication.
  • Coordinate vendor appointments and respond to vendor inquiries.
  • Update and maintain vendor contact information and databases.
Administrative & Merchandising Support
  • Manage filing, document organization, and general office support activities.
  • Prepare and distribute weekly reports for Buyers and Merchandise Managers.
  • Coordinate travel arrangements, itineraries, and market appointments for assigned merchants.
  • Schedule and organize vendor and agent visits at the corporate office.
  • Track and manage merchandise samples, including receiving, organizing, displaying, and returning samples.
  • Maintain sample rooms and merchandising materials.
  • Create and maintain spreadsheets and reports to track spending and merchandising activities.
  • Support special projects and assist merchandising teams across multiple buying offices as needed.
Qualifications
  • Strong organizational and administrative skills with exceptional attention to detail.
  • Proficiency in Microsoft Excel and other Microsoft Office applications.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
