Job description

JOB DEFINITION:

Provides clerical, secretarial and general offices services under supervision of the Office Manager.

EDUCATIONAL REQUIREMENTS:

High School diploma or its equivalent. Training in basic office skills, such as typing, filing, keyboarding, billing, and other office tasks.

EXPERIENCE REQUIRED:

One-year office experience

DUTIES AND RESPONSIBILITIES:

  1. Provides clerical support to clinical staff of the program, including but not limited to, typing assignments from tape or written draft, filing, recordkeeping and ticklers. Utilizes office equipment as required, including, but not limited to, copiers, fax machines.
  2. Assists administrative and direct service personnel in meeting their responsibilities by obtaining charts and other requested materials including, but not limited to, forms and supplies. Organizes schedules, assists with statistics and other paperwork. Reviews and verifies paperwork submitted by clinical staff for accuracy and completeness. Facilitates the flow of necessary paperwork in a timely fashion.
  3. Performs accurate and timely data entry of demographic, statistical and other information to facilitate billing and/or for data collection purposes. Processes all paperwork for admission and termination of clients within Agency guidelines.
  4. Performs receptionist duties, including but not limited to, answering telephones, recording and disseminating messages, greeting, directing and announcing visitors, recording payments, keeping records at the front desk and issuing client receipts.
  5. Monitors conditions in the waiting room areas, alerting appropriate personnel about untoward circumstances or hazards in accordance with Agency protocols.
  6. May be assigned to some or all of the following clerical duties, including but not limited to: compute revenue receipts; prepare bank deposits; generate reports related to third party billing; follow up on remittance of billed accounts receivable; check accounts payable; prepare schedule of accounts receivable and report on uncollected accounts.
  7. Opens and/or closes the facility as assigned.
  8. Performs off site errands using own vehicle as required.
  9. Complete QI Training during onboarding and participate in QI refresher training as needed.
