The Out Patient Electrophysiology Administrative Coordinator has a full understanding of all administrative duties necessary to support the Clinical Chief of Electrophysiology. Develops programs to improve the overall effectiveness of the departmnet and supports the administrative office staff in Fitkin. Responsibilities also include the daily analysis, correction and maintenance of billing, coding and other office management activities for the department with recommendations to improve the efficiency of the program. This requires an individual with exceptional customer service, organizational skills and ability to work independently.

Responsibilities
  • 1. Work collaboratively with the Clinical Chief of Electrophysiology (EP) in establishing the infrastructure to support and maintain a busy outpatient practice that is patient and family centered.
  • 2. Provide administrative direction and coordination of current and long range policies, procedures and programs of a single-site Yale University and Yale-New Haven Hospital practice.
  • 3. Establish schedules, task assignments and allocation of manpower, space and equipment to ensure effective patient care and provide conformance with efficient clinic service commitments.
  • 4. Maintain liaison with all levels of administration, physicians and outside organizations to coordinate practice business, accomplish directives and to facilitate the resolution of problems.
  • 5. Serve as a Liaison in integrating the outpatient EP practice with the academic office and inpatient care environment to ensure consistency with scheduling of patient appointments, and ensure care is smooth through the continuum of care.
  • 6. Work with practice leadership, hospital and other relevant staff to ensure scheduling of procedures (EP and OR) and pre and post work is completed in collaboration with the APRN and academic office manager.
  • 7. Work with the inpatient team to streamline the communication process and timely feedback to referring and faculty physicians.
  • 8. Represent the practice in meetings, conferences and maintnance activities with the Yale-New Haven Health System.
  • 9. Provide oversight and accountability for efficient filing and integrety of medical records. Develops and maintains all files (electronic and hard-copy) related to the department including research protocols. Determine fiscal requirements and approve budgetary recommendations for the practice, monitor, verify and reconcile expenditure of budgeted funds in coordination with the business manager of Cardiology.
  • 10. Serve as a resource to patient families and staff, both clinical and nonclinical in resolving patient care issues. Screens and routes telephone calls in a professional manner expediently and accurately, triaging calls as appropriate. Work closely with clinical nurse practitioner in providing patient education, working with social services when required and tracking patient compliance at all sites where Yale cardiologists see patients.

Minimum of 5 years experience in Electrophysiology practice management. Minimum of 5 years experience in medical coding and billing.
