Veterinary Medical Receptionist (CSR)

If you are an experienced customer service professional, looking to positively impact the lives of pets and people, joining the team at Ocean State Veterinary Specialists (OSVS) as a Client Service Representative (CSR) will allow you to do just that. Our busy veterinary emergency and specialty hospital is seeking a highly organized and experienced receptionist to join our team. The ideal candidate should have previous experience working in emergency and specialty veterinary medicine and must be able to thrive in a fast-paced, high-pressure environment. The successful candidate will play a vital role in ensuring the smooth operation of our hospital by efficiently managing client inquiries and facilitating communication between our medical staff and clients.

Essential Functions and Responsibilities:

  • Greet clients and their pets with a warm and welcoming demeanor, ensuring their comfort and satisfaction throughout their visit
  • Manage incoming phone calls and inquiries in a professional and courteous manner, providing accurate information and scheduling appointments as needed
  • Process client payments and maintain accurate financial records, including billing, invoicing, and insurance claims
  • Schedule appointments, record keeping and organization, provide estimates and invoices for payment
  • Coordinate patient intake and discharge, ensuring proper documentation and communication with medical staff and clients
  • Maintain accurate medical records using our hospital's electronic medical records system
  • Facilitate communication between clients and medical staff, ensuring timely response to inquiries and relaying important information to the appropriate parties
  • Maintain a clean and organized reception area, ensuring all necessary supplies are stocked and readily available
  • Ability to work collaboratively and effectively with different departments within the hospital, including medical staff, technicians, and other administrative staff

Qualifications:

  • 1-3 years' experience in emergency or specialty veterinary hospital is preferred (technician, liaison, customer service)
  • Professional, pleasant, engaged, clear communicator who is attentive and respectful to referring veterinarians, clients, and co-workers.
  • Must be able to balance multiple tasks, be confident, and prioritize tasks appropriately in a high-pace setting.
  • Computer experience (Word, Excel) and operation of office equipment such as, fax machine, copy machine, credit card and check terminal, and postage meter.
  • Related veterinary software and Care Credit knowledge preferred.
  • Must possess basic math skills to determine proper deposits and process payments
  • Must be available to work regular evenings, weekends, and some holidays.

OSVS is a 35,000 sf building with a very busy emergency service, a nationally-respected internship and residency program, and specialists in Emergency/Critical Care, Internal Medicine, Surgery, Radiology, Cardiology, Neurology, Oncology, Ophthalmology, and Avian/Exotics. Specialized equipment includes telemetry, endoscopy, CT scanner, ultrasound, and MRI.
