Position Overview:

The Event Associate, or EA, is responsible for administratively supporting events including conferences and seminars, tradeshows, golf tournaments, and a variety of other special events for multiple nonprofit professional societies and trade associations.

The best EAs are detail oriented, have strong analytical and communication skills, and the ability to thrive in a fast-paced environment while adapting to changing demands. Travel is required for this position.

Role:

  • Represent and deliver service excellence that is in keeping with the client's brand.
  • Utilize event administration playbook and adhere to the system that enables effective event management support for our client's meetings, conferences and events.
  • Work closely with event directors/managers to effectively support event deliverables and track results of event performance.
  • Review and edit event communications.
  • Test event registration & sponsorship forms for accuracy.
  • Review and edit event digital and print materials.
  • Create and update drafts of event materials (event scripts, presentations, etc.)
  • Version exhibit floorplans.
  • Create and update event registration and sponsorship sales reports.
  • Coordinate the development of session host packets, event surveys, print and digital event content, sign content, and name badge production with event lead.
  • Attend and support registration onsite at events.

Position Requirements:

  • 3 years' experience in administrative support or related field is preferred
  • Ability to develop professional relationships in all aspects of the position that result in stable, consistent, reliable, and courteous communication
  • Ability to problem solve and work independently in changing and multi-tasking environment with numerous deadlines
  • Ability to present ideas effectively to management team (both internal and external)
  • Excellent written and verbal communication skills
  • Demonstrated ability for accuracy and thoroughness
  • Solid problem-solving skills
  • Strong computer skills, especially Microsoft Office (Outlook, Word, Excel, PowerPoint/Prezi), event registration management platforms, and Association management software
  • Effective time management and organizational skills
  • Familiarity with CRM/AMS software systems and practices
  • Ability to adapt/respond to various customer personas
  • Goal oriented and strives to learn and grown on a daily basis
  • Ability to receive and immediately apply constructive feedback
  • Reliable transportation is required
  • Ability to travel is required
  • Ability to work some evenings and weekends required
