Job Title: Facilities Administrator
Location: Westfield, IN – 46074
Duration: 12 Months Contract
Shift: Monday – Friday | 8:00 AM – 5:00 PM
Job Summary
The Facilities Administrator is responsible for supporting facility operations by managing purchase requests, invoices, maintenance scheduling, and vendor coordination. This role works closely with finance, procurement, and external vendors to ensure efficient facility maintenance operations and accurate financial tracking.
Key Responsibilities
- Create and manage Purchase Requisitions (PRs) and Purchase Orders (POs) using the Xiam system.
- Submit payments and manage invoice processing and inquiries.
- Track and follow up on payments within SAP.
- Plan and schedule Preventative Maintenance (PM) and Demand Maintenance activities.
- Coordinate with external vendors for preventive maintenance and calibration services.
- Collaborate with buyers and corporate teams for procurement and facility requirements.
- Provide accrual impact reports to the finance team.
- Maintain accurate documentation and ensure timely completion of maintenance activities.
Preferred Qualifications
- Experience working with facility management or maintenance coordination.
- Familiarity with Maximo, SAP, and Xiam systems.
- Strong organizational and coordination skills.
- Ability to manage multiple administrative and operational tasks.
- Good communication skills for working with vendors and internal teams.
