Position Summary

The Field Trip Coordinator is responsible for planning, scheduling, and coordinating transportation for school field trips, athletic events, charters, and extracurricular activities. This position serves as the liaison between schools, drivers, dispatch, and operations to ensure all trips are scheduled accurately and completed safely and efficiently.

Responsibilities

  • Coordinate daily field trips, athletic trips, and charter transportation requests.
  • Communicate with schools and clients regarding trip details, schedules, and transportation needs.
  • Assign drivers and vehicles based on availability, qualifications, and route requirements.
  • Prepare and distribute trip schedules, manifests, and driver instructions.
  • Ensure compliance with DOT, state, and company transportation regulations.
  • Monitor trip coverage and resolve scheduling conflicts or last-minute changes.
  • Maintain accurate records of trips, billing information, mileage, and driver assignments.
  • Work closely with dispatchers, drivers, and maintenance staff to ensure vehicle availability and readiness.
  • Respond professionally to customer inquiries and concerns.
  • Assist with emergency coverage and operational support when needed.
  • Verify that all required permits, documents, and approvals are completed before trips.
  • Support payroll and invoicing functions related to charter and field trip operations.

Qualifications

  • High school diploma or GED preferred.
  • Previous experience in transportation, dispatching, logistics, or school bus operations preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and customer service abilities.
  • Proficient in Microsoft Office and transportation scheduling software.
  • Ability to work in a fast-paced environment and manage changing priorities.
  • Knowledge of school transportation regulations and safety procedures preferred.

Compensation is between $38,480 based on qualifications and experience.
