Job description

Black Family Hospitality is seeking a driven, organized, and hospitality-focused Event & Catering Sales Coordinator to support and grow catering and event operations across our portfolio of brands, including Terry Blackโ€™s Barbecue and other hospitality concepts. This role is responsible for managing client communication, coordinating event logistics, supporting sales initiatives, and ensuring an exceptional guest experience from inquiry to execution.

The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment while maintaining a high level of professionalism and hospitality.

Key Responsibilities

Client Relations & Sales Support

  • Handle communications for catering and event clients via phone, email, and online platforms
  • Build rapport and relationships with corporate clients, event planners, venues, hotels, and repeat guests
  • Assist guests through the booking process from initial inquiry to final event execution
  • Identify upselling opportunities including staffing, rentals, bar packages, menu enhancements, and specialty offerings
  • Maintain consistent communication with clients throughout the planning process
  • Support catering sales initiatives and revenue growth opportunities across multiple concepts and markets

Event Coordination & Logistics

  • Prepare proposals, contracts, banquet event orders (BEOs), and invoices
  • Coordinate event details including timelines, staffing, rentals, delivery logistics, and guest counts
  • Manage and maintain the catering and events calendar across multiple locations and concepts
  • Communicate event details clearly with operations, culinary, beverage, and management teams
  • Ensure catering orders and events are organized and executed accurately
  • Assist with on-site event coordination and large-scale events when needed

Administrative & Operational Support

  • Maintain accurate client records and event documentation
  • Process deposits, payments, and final billing
  • Assist with menu updates, catering packages, and promotional initiatives
  • Support reporting, sales tracking, and event recap documentation
  • Respond to frequently asked questions regarding menus, pricing, delivery, staffing, and event policies
