At Lincolnwood Rehabilitation and Healthcare Center, we believe that efficient business operations and accurate medical records are essential to delivering exceptional resident care. Guided by our core values of Passion, Respect, and Excellence, the Business Office Manager Assistant / Medical Records Coordinator supports the daily operations of both the Business Office and Medical Records departments while ensuring financial accuracy, regulatory compliance, and organized resident documentation.
Responsibilities for Business Office Manager Assistant / Medical Records:
  • Assist the Business Office Manager with daily financial and administrative operations.
  • Support accounts receivable, accounts payable, billing, collections, reimbursement processes, and financial reporting.
  • Maintain accurate financial records, resident account files, and supporting documentation.
  • Manage resident medical records, including new admissions, record maintenance, EMR documentation, audits, and medical record requests.
  • Ensure compliance with HIPAA and all applicable federal, state, and facility regulations.
  • Assist with central supply by receiving, organizing, stocking, and distributing supplies while maintaining appropriate inventory levels.
  • Communicate professionally with residents, families, vendors, insurance providers, and staff regarding billing and medical record inquiries.
  • Provide general administrative support and perform other duties as assigned.

Qualifications for Business Office Manager Assistant / Medical Records:
  • High school diploma or equivalent required; some college coursework preferred.
  • Skilled Nursing experience preferred.
  • One (1) to two (2) years of business office, bookkeeping, medical records, or related healthcare experience preferred.
  • Prior Long-Term Care, Rehabilitation, or Post-Acute Care experience strongly preferred.
  • Knowledge of billing, financial recordkeeping, and medical records processes.
  • Proficiency in Microsoft Office and the ability to learn electronic medical record (EMR) systems.
  • Strong organizational, communication, customer service, and data entry skills.
  • Ability to maintain confidentiality, manage multiple priorities, and assist with central supply responsibilities.
