Who are you:
We are seeking a highly organized and detail-oriented Marketing Coordinator to support our Development and Controls Director in preparing, coordinating, and producing high-quality proposal submissions. This role is ideal for a marketing professional who thrives in a fast-paced, deadline-driven environment and enjoys collaborating with technical professionals, executive leadership, and project teams to deliver compelling, winning proposals.
The ideal candidate possesses excellent writing, editing, graphic design, and organizational skills, with experience in the architecture, engineering, construction (AEC), or real estate industry. Success in this role requires the ability to manage multiple priorities, maintain exceptional attention to detail, and produce polished deliverables under tight deadlines.
Key Responsibilities
  • Support the Development and Controls Director in managing all aspects of proposal and qualification submissions from RFQ/RFP release through final delivery.
  • Coordinate proposal schedules, compliance requirements, assignments, and production to ensure timely, accurate, and complete submissions.
  • Collaborate with technical staff, project managers, and executive leadership to gather project information, resumes, and other proposal content.
  • Write, edit, proofread, and format proposal narratives, qualifications packages, presentations, and other business development materials.
  • Develop customized proposal layouts and visually compelling submission packages using company branding and industry best practices.
  • Ensure all proposal documents comply with client requirements, formatting standards, and submission instructions.
  • Manage the final assembly, quality control, printing (when required), and electronic submission of proposal packages.
  • Maintain proposal templates, project descriptions, staff resumes, and marketing collateral to support future pursuits.
  • Assist with presentations, interview materials, and client-facing marketing documents.

Required Qualifications
  • Bachelor's degree in Marketing, Communications, Graphic Design, Architecture, Business, or a related field.
  • Minimum of 5 years of experience in proposal coordination or marketing within the architecture, engineering, construction (AEC), or real estate industry.
  • Exceptional writing, editing, proofreading, and verbal communication skills.
  • Strong organizational and project management abilities with the capacity to manage multiple concurrent deadlines.
  • Ability to work independently while collaborating effectively with multidisciplinary teams and senior leadership.
  • High level of professionalism, initiative, and attention to detail.
  • Proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop), Microsoft Office Suite (Word, Excel, PowerPoint), and PDF editing software.
  • Experience producing professional proposals, qualifications packages, and interview presentations.

Preferred Qualifications
  • Familiarity with public agency procurement processes, including RFQs, RFPs, and design-build pursuits.
  • Knowledge of the architecture, engineering, construction, or real estate industries.
  • Experience with proposal management software and content databases is a plus.
  • Basic photography, website content management, or social media experience is desirable.
