Business Support Specialist VII (Administrative Assistant)

***Must live within 30 miles of Tuscaloosa, AL.***

Business Support Specialist VII provides high-complexity administrative and clerical support in Tuscaloosa, Alabama. This role sustains mission execution by keeping records accurate, communications flowing, and administrative processes moving—supporting operations that include hydrologic instrumentation, training, research, logistics, customer support, and operational readiness. 

Compensation & Benefits:

Estimated Starting Salary Range for Business Support Specialist VII (Administrative Assistant): $20.00-$22.00 per hour.

Pay commensurate with experience.

Full time benefits include Medical, Dental, Vision, 401K, and other possible benefits as provided.  Benefits are subject to change with or without notice.

Business Support Specialist VII (Administrative Assistant) Responsibilities Include: 

  • Perform advanced administrative and clerical support, including data entry, records management, file maintenance, and administrative coordination.
  • Prepare, transcribe, transfer, organize, review, and maintain written communications and administrative documentation (logs, tracking records, correspondence, forms, and reports).
  • Gather, organize, track, and distribute operational information to support HIF mission activities and internal communication needs.
  • Support research and operational documentation by organizing research data, maintaining administrative trackers, and managing information in accordance with Government procedures.
  • Operate office equipment and administrative tools (e.g., communication systems, office machines) to produce, route, and maintain documentation.
  • Support inventory coordination and administrative logistics, including material tracking, document control, and property accountability support activities.
  • Distribute mail, deliver messages, route information, and support internal communications in a timely, professional manner.
  • Coordinate routinely with Government personnel, contractors, researchers, engineers/technical staff, customer support staff, and operational personnel regarding administrative actions and business support needs.
  • Provide meeting support, including scheduling, coordination, agendas/notes (as requested), action item tracking, reporting support, and follow-up.
  • Support surge operations, training activities, customer support activities, and other mission-related administrative requirements as directed.
  • At senior levels, provide task coordination, administrative oversight, guidance, and lead support to junior business support personnel.
  • Provide status updates and documentation deliverables as required (e.g., weekly/monthly activity summaries; communication logs; tracking documentation; records discrepancy documentation; process improvement recommendations).
  • Performs other job-related duties as assigned.

Business Support Specialist VII (Administrative Assistant) Experience, Education, Skills, Abilities requested: 

  • Education: High School Diploma (required).
  • Administrative expertise: Thorough knowledge of office routines, administrative operations, and business support procedures; ability to execute multi-step assignments with varying sequences at a high complexity level.
  • Independent problem-solving: Ability to resolve most issues independently; selects from widely varying methods and procedures to process complex transactions; frequently devises methods/procedures for others.
  • Records and information management: Demonstrated capability maintaining accurate files, administrative records, tracking logs, and documentation in compliance with Federal records management expectations.
  • Data entry and accuracy: Strong attention to detail with proven accuracy in data entry, tracking, spot-checking, and documentation control.
  • Communication: Professional written and verbal communication skills; ability to route information effectively and interact with customers and Government personnel.
  • Tools and technology: Proficiency using office equipment and administrative support tools; comfort working in Government information systems environments.
  • Coordination and customer support: Strong interpersonal skills to coordinate across technical, operational, and administrative stakeholders; responsive support mindset.
  • Compliance/security: Ability to meet facility access requirements, complete cybersecurity training, and comply with Federal policies, privacy, operational security, and property accountability requirements.
  • Must live within 30 miles of Tuscaloosa, AL.
