Mail Services & Courier Associate

POSITION PROFILE

The Mailroom & Courier Services Associate is responsible for the efficient processing, sorting, distribution, collection, and delivery of incoming and outgoing mail and packages. This role operates a company vehicle to complete scheduled delivery routes, provides excellent customer service, maintains accurate mail and package tracking, and supports shipping, receiving, and bulk mail operations.

The ideal candidate demonstrates strong attention to detail, accuracy in numeric sequencing and routing, safe driving practices, reliability, and a commitment to delivering exceptional service. This position requires frequent standing, walking, lifting, and handling of mail and packages throughout the workday.

Reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site configuration.

Job Duties and Responsibilities Mailroom Operations
  • Sort, process, meter, and distribute incoming and outgoing mail and packages.
  • Ensure accurate routing and delivery of mail based on addresses, departments, mailbox numbers, tracking information, and delivery sequences.
  • Maintain mail and package accountability through accurate recordkeeping and tracking procedures.
  • Process express, certified, registered, and other specialized mail services as required.
  • Apply appropriate postage and prepare mail for shipment.
  • Assist with bulk mail projects, including material preparation, sorting, stacking, bundling, and binding.
  • Transport mail to designated postal and shipping facilities when required.
  • Maintain organized mailroom work areas and ensure compliance with established procedures.
Courier & Delivery Services
  • Safely operate a company vehicle to perform scheduled mail and package delivery routes.
  • Complete established delivery and collection routes multiple times per day.
  • Deliver and pick up mail, packages, and business materials from designated locations.
  • Verify delivery accuracy and maintain high standards of service and accountability.
  • Travel between customer locations and facilities as required.
  • Comply with all traffic laws, company vehicle policies, and safety procedures.
Shipping & Receiving
  • Receive, inspect, sort, and distribute incoming shipments.
  • Prepare outbound packages and documentation for shipment.
  • Coordinate with shipping carriers and internal customers regarding deliveries and pickups.
  • Assist with loading, unloading, and movement of packages and materials.
Customer Service
  • Provide courteous and professional service to employees, visitors, and customers.
  • Respond to inquiries regarding mail, package status, and delivery schedules.
  • Address service issues promptly and escalate concerns when appropriate.
  • Serve as a positive representative of the organization while performing delivery and mail services.
Administrative & Operational Support
  • Maintain logs, tracking records, and operational reports related to mail and package activity.
  • Monitor inventory levels of mailroom and shipping supplies.
  • Assist with filing, document handling, and other site support functions as assigned.
  • Support meeting room setups and other facility services as needed.
  • Perform additional duties as assigned.
Qualifications (Education, Experience and Certifications)
  • Requires high school diploma or GED and1-2 years of related work experience.
  • Previous mailroom, courier, delivery, shipping/receiving, logistics, or related experience preferred.
  • Valid driver's license with an acceptable driving record.
  • Experience operating company or commercial vehicles preferred.
  • Strong attention to detail and accuracy.
  • Ability to follow numeric sequencing, routing, and tracking procedures.
  • Strong customer service and communication skills.
  • Ability to work independently and manage time effectively.
  • Basic computer and recordkeeping skills.
  • Reliable attendance and punctuality.
Knowledge, Skills and Abilities
  • Working knowledge of copier and other related equipment and repair is preferred.
  • Requires knowledge and understanding of shipping/receiving procedures.
  • Basis electronics knowledge is preferred.
  • Possesses ability to work independently and flexibly to complete projects.
  • Possesses ability to determine correct method and packing material as well as check packing slips for accuracy of incoming materials.
  • Possesses ability to comprehend instructions concerning mail delivery.
  • Possesses troubleshooting and problem solving skills.
  • Possesses ability to read and comprehend written technical information in the form of manuals, parts books and related publications.
  • Possesses excellent customer relations skills and excellent verbal communication skills.
Working Conditions, Mental and Physical Demands
  • Requires frequent exposure to copier/fax machine noise, toner and changes in room temperature and may be exposed to frequent paper cuts from the handling of paper and opening of boxes.
  • Requires exposure to various weather conditions when walking is necessary between buildings and exposure to location equipment can present opportunities for injury or accidents.
  • Makes daily telephone/in-person contact with customers, employees, managers and/or Dispatch Department and occasional telephone contact with vendors and equipment repair people.
  • Dealing with tight deadlines and quick turnaround times imposes high stress levels.
  • Some physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 50 lbs. and in pushing or pulling machines on wheels, which may weigh up to 400 lbs., in order to move for repairs. Walking between buildings may be necessary.
