We are seeking a highly skilled Administrative Junior Tax Assistant to join our mighty team. Key Responsibilities:
You will play a vital role in ensuring the smooth and efficient operation of the office inbox. Your primary responsibilities will revolve around providing admin support to our team of tax professionals and assisting with various office tasks.
Client Communication: Greet clients by answering phone calls and responding to emails in a friendly, timely, and professional manner.
Documentation and Data Entry: Assist in organizing and filing client documents, tax forms, and records. Accurately enter client information into the office database. And communicate with staff when clients provide information to make sure this is correct information, and the team can move forward with preparation.
Filing and Organization: Keep digital files well-organized and easily accessible. Ensure that client documents and office records are appropriately filed and stored. Make sure that all documents are uploaded correctly and are readable. Check your work to confirm you omit any critical information.
Client Support: Provide administrative support to tax practitioners by conducting research on tax laws and regulations to ensure compliance including staying up to date with tax changes. Build and maintain client relationships and assist with client follow-up inquiries.
Data Management: Assist with gathering, compiling, and organizing client financial data to support tax preparation and reporting.
Confidentiality: Handle sensitive and confidential information with the utmost discretion and maintain client confidentiality.
Technology Utilization: Proficiently use office and tax-related software to create, edit, and format documents and keep the office flow moving.
Team Collaboration: Work closely with the tax practitioners and other administrative staff to ensure a cohesive and collaborative office environment.
Problem-Solving: Address routine administrative challenges and proactively identify opportunities to improve office processes and efficiency.
Qualifications:
We require tax background or knowledge equivalent to at least 2 or more years’ experience in a tax office.
Continuing education in Tax Preparation is desired.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent communication skills, both verbal and written.
Proficiency in using office software (e.g., Microsoft Office Suite/Excel, Google Sheets) and familiarity with tax software such as Drake or QuickBooks is advantageous.
Ability to work independently and in a team environment.
Able to multitask in a fast-paced tax season.

Discretion and professionalism in handling confidential information.
Strong interpersonal skills and a customer-focused attitude.
Prior experience in an administrative role, especially in a tax or financial setting, is necessary to fill this position.

Job Type:
Full-time remote position with flexible working hours during off season.
Salary:
Pay based on experience: $20 - $24 hourly, Non-exempt position
Schedule:
Monday to Friday 8 – 5 PST
Some Saturdays are mandatory during tax seasons
Experience Required:
Customer Service or Office Admin: 1 year
Tax office experience: 2 years
License/Certification:
CTEC or State equivalent (Required)
