Job Title: Move Coordinator (Full-Time — Local & Long Distance)


Location: New York, NY (office-based with occasional onsite visits)


Company Overview: Liffey Van Lines, Inc. is a full-service moving company serving residential and commercial clients in NYC and nationwide. We deliver professional, reliable moving solutions with a focus on customer satisfaction and clear communication.


Position Summary: Liffey Van Lines is seeking a full-time Move Coordinator to manage bookings, coordinate local and long-distance moves, handle customer communications, prepare estimates and schedules, and ensure smooth execution from inquiry through delivery.


Key Responsibilities:

  • Serve as primary point of contact for customers from inquiry to move completion for both local and long-distance moves.
  • Create accurate estimates and quotes using company pricing guidelines; schedule in-home surveys or virtual estimates as needed.
  • Plan and coordinate move logistics: truck/crew assignments, routing, pickup/delivery windows, and special equipment or services.
  • Prepare and manage documentation: contracts, inventories, bills of lading, pricing confirmations, claims paperwork, and follow-up correspondence.
  • Communicate with operations, drivers, movers, warehouse staff and third‑party carriers to ensure on-time, compliant moves.
  • Verify addresses, access requirements, parking/permits, elevators, stairs, and any special handling instructions.
  • Track move status and proactively update customers and stakeholders on ETA, delays, or issues.
  • Handle customer service issues and escalations professionally; coordinate resolution of claims or damage reports.
  • Maintain CRM and scheduling systems with accurate customer records, notes, and move statuses.
  • Ensure compliance with federal/state regulations for long-distance (interstate) moves and company policies.
  • Support billing and post-move invoicing coordination with accounting.
  • Participate in training, process improvement, and occasional after-hours support during high-volume periods.


Required Qualifications:

  • 2+ years experience in moving coordination, logistics, dispatch, or related customer service role; experience with both local and long-distance moves preferred.
  • Strong organizational skills with ability to manage multiple moves and priorities simultaneously.
  • Excellent verbal and written communication; professional phone presence.
  • Proficiency with office software (MS Office), scheduling/CRM systems, and basic familiarity with moving estimate software or willingness to learn.
  • Customer-focused, detail-oriented, problem-solving mindset.
  • Knowledge of moving operations, packing/inventory practices, and basic regulations for interstate moves preferred.
  • Ability to perform occasional onsite surveys and work flexible hours when required.
  • High school diploma or equivalent; associate’s degree or logistics certification a plus.
