The Role

We're looking for a Clinical Operations Manager to help keep the operational side of PhysioCare At Home running smoothly as we grow. This is a high-trust, detail-oriented role supporting the systems behind our care: billing, payroll coordination, compliance tracking, therapist onboarding, documentation, and day-to-day operational support. You'll work closely with the founders and our office team to make sure therapists are supported, clients are billed accurately, and important details don't fall through the cracks. This role is ideal for someone who is organized, discreet, warm, and systems-minded someone who enjoys making a growing healthcare company actually work behind the scenes.

What You'll OwnBilling & Finance Operations
  • Coordinate client billing, invoicing, and payer/insurance processing
  • Maintain accurate client billing information and administrative records
  • Run billing reports, follow up on outstanding receivables, and help reconcile payments
  • Help identify ways to make our billing and finance workflows more efficient as we grow
Payroll Coordination
  • Coordinate accurate semi-monthly therapist payments
  • Maintain payment records and support payroll documentation
  • Help ensure payroll-related information is organized, accurate, and submitted on time
  • Support process improvements as our team expands
Compliance & Documentation
  • Track professional registrations, licenses, insurance renewals, and other required documentation
  • Maintain team records, agreements, and key HR/operations files
  • Coordinate internal documentation so important information is accurate and easy to find
  • Help keep our operating procedures current as processes evolve
Therapist Onboarding & Support
  • Coordinate new therapist setup across our scheduling, communication, and internal systems
  • Support onboarding checklists, documentation, and new team member logistics
  • Be a helpful first point of contact for therapist operational questions
  • Help new clinicians feel organized, welcomed, and supported in their first 3060 days
Hiring & Team Growth Support
  • Support candidate communication, interview coordination, and hiring workflows
  • Help maintain a professional, warm, and organized candidate experience
  • Coordinate the handoff from hiring to onboarding
  • Support the founders and leadership team as we grow our therapist network across Canada
Who You Are
  • Experienced in operations, office management, practice administration, or healthcare administration
  • Comfortable with billing, payroll coordination, records, and confidential information
  • Exceptionally organized you naturally build checklists, trackers, and systems
  • Detail-oriented and reliable, especially with deadlines and sensitive information
  • Warm and professional in communication with clinicians, clients, and teammates
  • Tech-comfortable and able to learn new healthcare, HR, and project-management systems
  • Proactive and discreet you notice what needs attention and handle information with care
  • Local to Greater Vancouver / the Fraser Valley, with the ability to work from our Langley head office regularly

Healthcare, rehab, home care, or multi-location service-business experience is a strong asset. Experience with Jane App is a definite asset, and experience with payroll, HR, or project-management software is also helpful.

  • Hybrid: regular in-office anchor days for training, collaboration, and team meetings, with work-from-home flexibility for focused administrative work
  • Hours: 3037.5 hours per week, with some flexibility in schedule for the right candidate

Compensation

$32$40 per hour, depending on experience. This role may be structured as 3037.5 hours per week, with schedule flexibility for the right candidate. Exceptional candidates with strong healthcare operations, billing, payroll, or Jane App experience may be considered above this range.
