JOB SUMMARY:

This position partners with warehouse, pharmacy operations, and procurement teams to ensure efficient, compliant, and accurate inventory management and distribution processes. This role is responsible for and oversees warehouse workflow optimization, staff training, and process standardization while maintaining product integrity, regulatory compliance, and operational excellence. In addition, this position facilitates cross-functional collaboration to align inventory, purchasing, and logistics activities with organizational goals and quality standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Design, develop, and deliver training programs for new hires and existing staff on warehouse operations, including receiving, put-away, inventory control, order picking/packing, shipping, and return processing for pharmacy products.

2. Train staff on proper handling of pharmacy inventory, including temperature-controlled storage, cold chain requirements, lot/expiration tracking, and recall procedures.

3. Serve as a liaison between warehouse operations and procurement, translating purchasing schedules, vendor lead times, and stock replenishment plans into operational training and communication.

4. Partner with procurement to ensure warehouse staff understand how purchasing decisions (order quantities, substitutions, backorders, new vendor onboarding) affect receiving and inventory workflows, and vice versa.

5. Develop and maintain training materials, standard operating procedures (SOPs), job aids, and competency checklists in line with regulatory requirements (e.g., state boards of pharmacy, DEA, FDA, DSCSA).

6. Conduct hands-on and virtual training, shadowing, and coaching for warehouse employees, including use of warehouse management systems (WMS) and procurement/inventory software.

7. Track training completion, competency assessments, and certification records; identify skill gaps and recommend retraining or process improvements.

8. Support onboarding of new warehouse employees, ensuring consistent ramp-up time and compliance readiness.

9. Facilitate cross-functional meetings or huddles between warehouse, pharmacy, and procurement teams to resolve recurring issues (e.g., discrepancies, short shipments, mispicks tied to purchasing data).

10. Monitor training effectiveness through KPIs such as error rates, order accuracy, training completion time, and compliance audit results.

11. Stay current on pharmacy distribution regulations, safety standards (OSHA), and industry best practices, incorporating updates into training content.

12. Assist in audits and inspections by ensuring documentation of training records is accurate, current, and readily available.

13. Other related duties as assigned by manager or designee.

JOB REQUIREMENTS AND QUALIFICATIONS

Education:

  • High School Diploma or equivalent required.
  • Associate or bachelor’s degree supply chain, logistics, business or in a related field preferred.

Experience

  • Minimum of three (3) years of experience in warehouse, distribution, or logistics operations preferrable within a pharmacy, health care or highly regulated environments.
  • Minimum of one (1) year of experience in managing, training, or instructional design.
  • Experience liaising between operations and procurement/purchasing functions.
  • Proficient experience with Microsoft Office including Word, Excel, PowerPoint, Outlook, Teams, and CPR+ software system or similar system preferred.
  • Experience with warehouse management systems (WMS) and inventory/procurement software.

Skills and Competencies:

  • Working knowledge of pharmacy supply chain requirements (cold chain, controlled substances, expiration/lot tracking, DSCSA/track-and-trace).
  • Familiarity with pharmacy operational and procurement processes (purchase orders, vendor management, replenishment cycles) sufficient to explain their operational impact to warehouse staff.
  • Strong verbal and written communication skills, with the ability to explain technical or regulatory concepts to a range of audiences.
