Position Summary:

Oversee and track all activities related to incoming materials within a warehouse environment. Main objective is to ensure that all materials are accounted for, coordinate deliveries with Purchasing and suppliers, maintain correct statuses for shop work orders, and communicate clearly with Operations personnel.  Perform various support functions that are necessary for the timely, efficient, and effective operations of the receiving warehouse. Track and report all back orders and discrepancies.

Primary Responsibilities:

  • Validate receipts paperwork against supplier shipping tickets.
  • Prepare and verify bills of lading, packing lists, shipping labels, and other required shipment documents.
  • Work with Purchasing and suppliers to research and solve supplier delivery discrepancies to include incorrect items and missing paperwork.
  • Maintain a public order status board and communicate with operations team members.
  • Ensure purchase orders are filled with 100% accuracy from vendors.
  • Oversee the inbound material deliveries from suppliers for back-order tracking.
  • Communicate back orders with vendors and keep track of updated ship dates.
  • Assist in developing solutions to specific problem areas.
  • Compile, verify, and report periodic statistical information to management regarding trends in work order and process fluctuation.
  • Ensure documentation is complete and accurate.
  • Develop solutions to streamline processes.
  • Assist all members of the Supply Chain on various projects.
  • Communicate issues with incoming shipments for correct part numbers, quantities, condition, and required documentation for all Receiving warehouse locations.
  • Document and communication shortages, overages, damaged material, incorrect material, and other receiving exceptions.
  • Coordinate supplier returns, replacement material, return material authorizations, and freight claims when applicable.
  • Prioritize and expedite materials required for active shop work orders, field requests, or critical project needs.
  • Reconcile open purchase orders, unmatched receipts, aged backorders, and unresolved receiving discrepancies.
  • Maintain complete and timely transaction records in RK Connect, including receipt dates, quantities, notes, status changes, and supporting documents.
  • Participate in cycle counts, inventory audits, and investigations of inventory discrepancies when requested.
  • Cross-train designated backup personnel on receiving and work-order status processes.
  • Follow all warehouse safety requirements, including required PPE and material-handling procedures.

Qualifications: 

  • High school diploma or GED required; associate degree in Supply Chain, Business, Logistics, or a related field is a plus.
  • One to two years of experience in receiving, warehouse operations, logistics, purchasing support, inventory control, or a related environment preferred.
  • Strong data entry skills with a high level of accuracy and attention to detail.
  • Basic computer proficiency, including Microsoft Office (Excel, Outlook, and Word).
  • Ability to learn ERP or inventory management software (Viewpoint experience is a plus).
  • Strong organizational, time management, and multitasking skills.
  • Effective verbal and written communication skills with the ability to work collaboratively across departments and with vendors.
  • Ability to identify discrepancies, research issues, and follow through to resolution.

Minimum Physical Requirements and Accountability:

  • Frequent and prolonged periods of sitting, standing, and walking within the facility.  
  • Must be able to hear and communicate clearly and effectively in person, over the phone, and in virtual settings. 
  • Manual dexterity is required to operate computer, keyboard, and standard office equipment. 
  • Occasional reaching, bending, stooping, or kneeling may be required. 
  • Noise levels are typically low to moderate but may vary, particularly for roles that involve time in field or shop environments.  
  • Possible exposure to typical manufacturing-related hazards in certain job locations.
  • Must comply with all company policies and procedures.
  • Consistent, punctual attendance during core business hours is essential.
  • This position is primarily office-based and located in the Denver Metro Area. Reliable transportation is required for commuting and occasional travel between local corporate offices and job sites during business hours.
