Job description

Position Summary:

The Operations and Development Associate is responsible for key administrative and logistical activities in the Chapter’s offices in Providence, Rhode Island. These include supporting the efficient operation of the office environment and assisting professionals with data entry and software packages such as Luminate and Personify. Additionally, they will be responsible for associate-level Development duties. This position requires exceptional self-management capability, flexibility, strong interpersonal skills, and discretion (confidentiality).

This position is grant funded.

Responsibilities:

Operations 

  • Provide an effective and pleasant welcome to the Association both in person and on the phone, including: 
  • Answering and directing telephone calls to appropriate staff and helpline volunteers 
  • Greeting and directing visitors 
  • Helping callers to register for programs and events 
  • Support the administrative operations of the Providence office, including assisting with mailings when needed 
  • Sorting all incoming mail and send items weekly to the Connecticut Chapter for processing 
  • Performing data entry and word processing on an as needed basis 
  • Ensure the effective operations of the office environment, including: 
  • Overseeing inventory and ordering of supplies 
  • Performing data entry and linking databases 
  • Supporting liaison with building management 
  • Handling setup for meetings 
  • Maintenance of copiers/postage machine to ensure all equipment is in good working order and schedules on-site technical repairs when needed 
  • Oversee outreach, recruitment and intake of Volunteer staff, including: 
  • Orienting and matching volunteer candidates to specific roles and making sure materials and directions are available 
  • Implementing comprehensive volunteer recognition efforts 
  • Tracking utilization of volunteers with volunteer tracking database 

Board of Advisors 

  • Work with the Executive Director to maintain rosters, engagement, and stewardship of the Board of Advisors. 
  • Distribute reminders for board events and meetings. 
  • Collect and organize digital handouts from the team into a central folder for each board meeting. 

Development 

Walk to End Alzheimer’s 

  • Maintain Walk website for each Walk including news and information, calendar of events, and sponsorship content 
  • Manage inventory of all Walk related supplies and materials 
  • Provide meeting support to Walk to End Alzheimer’s committee meetings as needed 
  • Manage logistics for Walk to End Alzheimer’s and associated wrap around events 
  • Provide customer service for team captains and fulfill material requests 

Do What You Love to End Alzheimer’s

  • Working alongside the Development Manager for Do What You Love to End Alz, provide staff support to the Volunteer Committee to ensure fundraising goals are met 
  • Steward existing Do What You Love team captains and individuals to continue fundraising activities year after year and identify and cultivate new team captain prospects 
  • Identify and solicit third-party fundraising activities to benefit the Chapter’s Do What You Love revenue goal 
  • Steward individuals to serve on the planning committee   

General 

  • Manage and maintain databases and websites for all special events, participants and donors 
  • Prepare reports and provide information as requested and required 

Social Media and Communications 

  • Create content for all Rhode Island Social Media outlets 
  • Schedule and post updates on platforms like Facebook, X, Instagram, and LinkedIn. 
  • Work with internal team  

Qualifications:

  • Bachelor’s degree required 
  • Two years’ experience working in a relevant office environment 
  • Fundraising / Development experience preferred 
  • Two years’ experience in Canva, and Microsoft Office, including Word, Excel and Outlook 

Knowledge, Skills and Abilities:

  • Experience with Convio and Personify software preferred 
  • Strong writing skills, communications experience helpful 
  • Exceptional customer service skills and ability to 
  • Ability to multitask in a fast-paced environment, since efficient use of time and flexibility are requisites to meeting the high level of support demand 
  • Strong interpersonal skills with the ability to work under pressure with a wide range of personalities, including resolving conflicts quickly and effectively 
  • Effective verbal and written communication skills, reflecting an understanding of the appropriate use of communication technologies 
  • Appreciation of all facets of diversity, especially with respect to outreach to underserved communities 
  • Ability to work occasional evenings and weekends as needed for the job 
  • Ability to travel locally and regionally to perform job duties.
  • Must have a valid driver’s license, proof of insurance, and access to reliable transportation strongly preferred.
  • Ability to lift up to 25 lbs.

Position Grade & Compensation: Grade 302 The Alzheimer's Association’s good faith expectation for the hourly range for this role is between $23.00 – $25.00
