Position
Join our team at Renton Technical College! We are seeking an Instructional Operations Coordinator to support the Division of Instruction by providing administrative support and coordination across all instructional areas. This will include providing consistent and reliable operational capacity and support with administrative tasks such as the tracking of deadlines, coordination across departments, managing purchasing workflows, supporting major projects, and ensuring that operational issues are resolved.
The Instructional Operations Coordinator is represented by the Renton Professional Technical Association (Prof-Tech) Union. This is a full-time, classified, and overtime eligible position reporting to the Dean of Instructional Support. The pay range for this role is $59,125.83 - $78,485.73 annually. Salary placement is based on applicable work experiences. New hires may not be placed above step 10 ($74,456.31). Additional information can be found on our and in the . Key Responsibilities / Essential Functions Include
Cross-Division Coordination & Communication
  • Serves as the primary coordination liaison between the Division of Instruction and college departments including Student Services, HR, Enrollment Services, Facilities, and IT.
  • Drafts and routes operational communications on behalf of deans across all divisions.
  • Coordinates logistics for advisory committee meetings, accreditation site visits, agendas, materials, room bookings, minutes, and follow-up.
  • Tracks open items across divisions and follows through to ensure timely resolution without requiring dean involvement.

Faculty Support & Instructional Readiness
  • Provides direct support and guidance to faculty regarding classroom setup, instructional materials, syllabus development, and instructional expectations.
  • Delivers training and onboarding support for instructional systems and technologies, including ctcLink, Canvas, class rosters, and classroom technology.
  • Coordinate faculty access to training, resources, and support services related to classroom management, effective teaching practices, and student engagement.
  • Coordinates classroom and laboratory logistics to ensure instructional spaces are accessible, functional, and ready for teaching and learning.
  • Assists faculty in responding to student inquiries and navigating common student support processes and referrals.
  • Coordinates instructional technology needs and serves as a liaison with IT and other support departments to resolve classroom technology issues.
  • Supports faculty understanding of student populations and promotes responsive instructional practices that address diverse learner needs.
  • Ensures students receive required instructional materials, including course syllabi and program handbooks, as applicable.
  • Provides or coordinates training on FERPA requirements and other instructional compliance expectations.

Deadline Tracking & Project Coordination
  • Maintains a division-wide operational calendar of key deadlines, reporting requirements, and institutional milestones across all programs.
  • Proactively follows up with faculty, staff, and other offices to ensure on-time completion.
  • Manages timelines and logistics for major instructional projects, including those coordinated through Instructional Support.
  • Flags risks and escalates to the appropriate dean only when the issue requires their authority or judgment.

Purchasing & Financial Administration
  • Coordinates purchasing requests across divisions, routing requisitions, tracking approvals, and following up on outstanding orders.
  • Supports monitoring of instructional budgets and flags spending concerns to the appropriate dean.
  • Maintains consistent purchasing practices across divisions, coordinating informally with the dedicated Manager to avoid duplication on shared systems.

Scheduling & Enrollment Support
  • Provides scheduling coordination support to divisions without a dedicated operations role, helping resolve conflicts and logistics.
  • Monitors enrollment flags and alerts across assigned divisions, coordinating responses with the relevant dean.

Faculty & Staffing Logistics
  • Coordinates part-time faculty hiring logistics across supported divisions: posting coordination, interview scheduling, onboarding steps.
  • Supports onboarding logistics for new faculty in coordination with HR.

Instructional Support Operations
  • Supports data gathering, reporting preparation, and documentation for instructional improvement processes.
  • Support the college's mission by creating a learning and work environment of mutual respect and fairness, while encouraging creative and critical thinking. Contribute to the appreciation of diversity and foster a climate of multicultural understanding.
  • Communicate professionally and effectively, both orally and in writing, with college employees, departments and outside agencies.
  • Maintain regular attendance and punctuality.
  • Perform other related projects and assignments as assigned

Required Knowledge, Skills and Abilities
  • Experience with persons from diverse backgrounds such as sexual orientation, racial, ethnic, religious, linguistic, gender, age, socio-economic, physical and learning abilities, and a commitment to an inclusive and equitable working / learning environment.
  • Three years of progressive administrative, operations, or project coordination experience, preferably in higher education or public sector.
  • Demonstrated ability to manage multiple simultaneous priorities across different work areas with minimal supervision.
  • Strong written and verbal communication skills; ability to draft professional correspondence and communicate clearly across levels.
  • High comfort level working with and serving multiple supervisors or stakeholders with differing needs and working styles.
  • Proficiency with standard office software and scheduling tools; ability to quickly learn institutional systems (ERP, scheduling platforms, data reporting tools).
  • Demonstrated judgment in distinguishing what to resolve independently versus what to escalate.
  • Demonstrated ability to promote universal design and accessibility. Proficiency in (or ability to learn within 6 month of hire) the production of accessible content, whether print or electronic.
  • Ability to represent the college in a positive and professional manner, while using tact, discretion and courtesy.
  • Ability to speak a regionally top spoken language other than English is preferred (Spanish, Vietnamese, Russian, Somali, and Chinese).

PREFERRED SKILLS AND ABILITIES:
  • Experience in a community college or multi-division higher education environment.
  • Experience supporting advisory committees, accreditation processes, or institutional improvement projects.
  • Experience with purchasing systems, budget monitoring, or financial administration workflows.
  • Associate degree in Business Administration, Operations Management, Education, or a related field is preferred.

WORKING CONDITIONS:
Working hours are generally aligned to business hours, Monday - Friday. Occasional evening and weekend work is required. Work is mostly sedentary in nature, performed in an office environment. Frequent use of a computer and exposure to terminal screens is required. Work and meetings may take place across campus. May drive/travel to trainings, conferences, and/or college events. This is mostly an in-person/on-campus position; remote work may occur as business permits.
