Executive Assistant

Provide administrative support to executive leadership to help maintain efficient day-to-day operations. Manage calendars, coordinate meetings, prepare materials, and organize travel arrangements. Support timely communication and follow-up across internal and external partners. Maintain accurate records and handle confidential information with professionalism and discretion. Contribute to organizational priorities through effective coordination, responsiveness, and attention to detail.

Essential Functions

  • Executive Support: Manage executive calendars, schedule appointments, and coordinate meetings based on established priorities. Prepare and distribute agendas, presentations, and supporting materials. Monitor incoming requests, route communications appropriately, and support timely follow-up. Maintain discretion when handling confidential or sensitive information.
  • Meeting, Event, and Travel Coordination: Coordinate meetings, events, and business travel for executive leaders, including scheduling, accommodations, catering, and other logistical arrangements. Confirm details with participants and service providers to help ensure activities run smoothly. Prepare accurate materials and communicate relevant information to attendees in a timely manner.
  • Communication and Documentation: Draft, proofread, format, and distribute correspondence, reports, presentations, and other documents on behalf of executive leadership. Maintain organized electronic and physical filing systems and ensure records remain current and accessible. Coordinate routine communications with internal and external partners.
  • Administrative and Project Support: Assist with executive and departmental projects by scheduling activities, organizing information, tracking deadlines, and following up on action items. Maintain task and project information using established systems and tools. Adapt to changing priorities and complete assigned work accurately and on time.
  • Operational Support: Prepare expense reports, process invoices, order supplies, and support other routine administrative activities. Assist with onboarding activities by preparing materials, coordinating access requests, and scheduling introductory meetings. Serve as a professional point of contact between executive leadership and internal and external partners.
  • Other Duties: Perform additional tasks, duties, and responsibilities as needed or assigned by leadership to support departmental and organizational objectives.

What You Need

โ€ขAssociate degree in business administration, communications, or a related field preferred.

โ€ขMinimum of three years of experience in an executive assistant, administrative assistant, office coordinator, or related administrative position required.

โ€ขExperience supporting executive leadership required.

โ€ขProficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, required.

โ€ขExperience with Salesforce, Asana, or other customer relationship management or project management systems preferred.

โ€ขStrong organizational and time management skills, including the ability to manage multiple priorities, required.

โ€ขStrong written and verbal communication skills required.

โ€ขStrong attention to detail and accuracy required.

โ€ขAbility to handle confidential and sensitive information with discretion required.

The total rewards expected for this role include:

  • Starting annual base salary between $40,000 - $65,000.
