EMPLOYMENT OPPORTUNITY

Administrative Assistant, Gladue Pathways

Full Time Term Position - March 31, 2031

Location: Thompson or Winnipeg, Manitoba

Under the direction of the Program Manager, Gladue Pathways, the Administrative Assistant provides comprehensive administrative, operational, research and logistical support to ensure the effective delivery of the Gladue Pathways to Healing Initiative.

The Administrative Assistant is responsible for coordinating day-to-day office operations, including scheduling, managing correspondence, responding to inquiries, maintaining records, and supporting communication with program staff, leadership, stakeholders and community partners. 

The Administrative Assistant ensures that program records, reports, and documentation are accurate, organized, timely and maintained in accordance with organizational policies, privacy requirements, court-related standards, and funding agreement obligations.  The role provides essential administrative support to program staff by assisting with coordination, information management, research, scheduling, and operational activities that support culturally responsive Gladue Services.

Role and Responsibilities 

Administrative Support:

  • Provide day-to-day support including scheduling meetings, maintaining records, and managing correspondence.
  • Track, monitor and follow up of expenses related to the operation of the Gladue Pathways to Healing Initiative.
  • Assist program staff in processing payment requisitions and purchase order requests.
  • Maintain office supplies and promotional items.
  • Coordinate travel logistics for program staff.
  • Answer electronic inquiries and relay calls and messages, using digital communication tools to facilitate timely and effective communication.

Documentation & Reporting:

  • Maintain records of Gladue Reports, Healing & Wellness Plans, and program activities.
  • Assist in the preparation of reports, meeting minutes, and other documentation required for program oversight.
  • Compile and prepare materials for conferences, assemblies, meetings, and training events.
  • Provide support to the Gladue Pathways to Healing Initiative in maintaining the electronic filing and/or database system.
  • Support reporting and data collection requirements for funding officials, leadership and justice partners.

Logistical Coordination:

  • Coordinate logistics for events, workshops, and stakeholder meetings.
  • Manage scheduling, communications, and documentation for program staff.
  • Assist in the coordination of community meetings, workshops, and training sessions.
  • Provide administrative support at meetings, conferences, assemblies, and other events.

Team Support:

  • Provide technical, research and administrative support to program staff.
  • Serve as a central point of contact for program staff, managing internal communication and information flow.
  • Must maintain strict adherence to MKO policies regarding the management of confidential and sensitive information.
  • Ensure compliance with confidentiality and privacy requirements in line with program and court standards.
  • Other duties as assigned.
  • MKO is political advocacy organization that works to represent the leadership and member First Nations. All staff at MKO may be given other duties as assigned that enable MKO to fulfill the mandate and responsibility to its member communities.


Education and Experience 

  • Minimum 3 years of experience in an office/administrative environment.
  • Post-secondary education in business administration or equivalent.
  • Ability to set priorities, handle multiple tasks simultaneously and meet deadlines.
  • Demonstrates strong initiative with the ability to work independently while functioning as part of a team.
  • Proficient computer skills and the ability to use Microsoft Office, Excel, PowerPoint, Outlook, and other business-related computer software is required.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
  • Ability to adapt to a rapidly changing environment.
  • Strong verbal and written communication skills.
  • Valid Class 5 Full drivers’ license and access to a reliable vehicle.
  • Ability to travel and work flexible hours as required.
  • Ability to travel by air, road, boat, snowmobile, and other means as necessary.
  • Satisfactory Criminal Records Check, Child and Adult Abuse Registry Check, and vulnerable sector check.
