Job description

Position Summary

The Logistics Clerk is responsible for preparing, assembling, and maintaining required paperwork for trailer deliveries, customer pickups, dealer communications, and related logistics activities. This position supports accurate documentation, timely delivery coordination, compliance with applicable DOT and international shipping requirements, and effective communication with dealers, drivers, internal departments, and management.

The role requires attention to detail, organization, follow-through, and the ability to work collaboratively with shipping, accounting, sales, customer service, and dealer contacts to resolve documentation issues and support successful deliveries.

Essential Duties and Responsibilities

The essential functions listed below are representative of the duties performed in this role. Other duties may be assigned as business needs require.

  • Assign load numbers and pull sales orders for each scheduled load.
  • Prepare delivery date confirmations and send them to dealers by fax or email for acknowledgment.
  • Communicate regularly with the Shipping Manager regarding delivery confirmations, load updates, and unresolved issues.
  • Follow up with dealers who have not acknowledged delivery confirmations to ensure required confirmation is received before a load leaves.
  • Print, edit, sort, and organize MCOs and invoices by load.
  • Compare invoices to production copies and sales orders for accuracy, including upgrades, freight, and dealer-direct charges.
  • Perform quality control checks on orders, invoices, MCOs, and related paperwork to identify and correct errors.
  • Create warranty packets and assemble trip paperwork in drop order for each load.
  • Calculate and enter COD amounts for each load for driver collection when required.
  • Prepare required Canada paperwork, broker documentation, and Canadian customs invoices for border crossings.
  • Match sales orders with production sheets and maintain accurate filing.
  • Process returning trips, including forwarding fuel receipts and logs to Ryder and Pro Logistics as required.
  • Review trailer pickup lists against scheduled loads and communicate pickup needs to drivers when trailers are located along delivery routes.
  • Provide drivers with trailer pickup lists on the required schedule.
  • Issue sales order changes when trailers are returned and communicate the return to applicable departments.
  • Prepare paperwork for customer pickups and special customer requests, including owner’s manuals, brake manuals, axle manuals, and other requested packets.
  • Print and mail duplicate MCOs upon dealer request.
  • Assist with approvals in the absence of the Accounts Receivable Manager as assigned.
  • Handle logistics-related phone calls professionally, including dealer delivery scheduling conflicts, late shipments, delivery date notifications, and trailer damage referrals to Customer Service.

Education and Experience

  • High school diploma or General Education Degree (GED) required.
  • Two to five years of related experience and/or training preferred, or an equivalent combination of education and experience.
  • Basic computer knowledge, including Microsoft Excel and Word, required.
  • Familiarity with office equipment such as fax machines, scanners, and copy machines required.
  • Ability to read, write, and perform basic mathematical calculations required.

Language Skills

  • Ability to read and comprehend simple instructions, short correspondence, memos, delivery paperwork, invoices, MCOs, and related business documents.
  • Ability to write simple correspondence and communicate effectively with dealers, customers, drivers, co-workers, and management.

Reasoning Ability

  • Ability to apply common-sense understanding to carry out detailed written or oral instructions.
  • Ability to identify documentation errors, resolve routine problems, and follow established procedures for delivery, invoicing, and shipping paperwork.
