Position Summary

E-Logic, Inc. is seeking a highly organized and detail-oriented Operations & Logistics Coordinator to oversee daily relocation and logistics operations for educational and institutional clients. This position is responsible for coordinating project execution, managing financial and operational documentation, supporting field personnel, and ensuring projects are completed safely, efficiently, and within budget.

Essential Duties and Responsibilities
  • Coordinate and oversee relocation, moving, and logistics operations to ensure projects are completed on schedule and in accordance with client requirements.
  • Prepare, maintain, and monitor project Profit & Loss (P&L) statements, tracking budgets, expenses, and overall project profitability.
  • Generate customer invoices, upload invoices to client portals, and monitor outstanding accounts to support timely payment collection.
  • Reconcile project expenses using Divvy and the E-Logic internal systems, ensuring all costs are accurately assigned to the appropriate project or invoice.
  • Procure equipment, materials, and supplies necessary for project execution while maintaining cost-effective purchasing practices.
  • Coordinate field personnel, assign daily work activities, and oversee operational performance at project sites.
  • Serve as the primary point of contact for clients, maintaining professional communication and promptly resolving operational concerns.
  • Review and approve employee timesheets for payroll processing and project cost tracking.
  • Maintain organized project documentation, including receipts, invoices, contracts, and financial records.
  • Submit payroll information to the Finance and Human Resources departments on a biweekly basis.
  • Track subcontractor invoices, vendor payments, and project expenditures while maintaining complete contract documentation.
  • Assist with logistics planning, transportation coordination, scheduling, equipment movement, and resolving operational challenges encountered during project execution.
  • Develop, implement, and improve employee onboarding materials, operational procedures, and training programs to enhance efficiency and compliance.
  • Support warehouse operations and inventory management as needed.
  • Ensure compliance with company policies, client requirements, and applicable federal, state, and local regulations.
Qualifications
  • Experience coordinating logistics, relocation, warehouse, transportation, or project operations.
  • Strong organizational, communication, and multitasking skills.
  • Experience preparing invoices, monitoring project budgets, and maintaining financial records.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Experience using expense management, accounting, or project management software is preferred.
  • Ability to manage multiple projects simultaneously while meeting deadlines.
  • Ability to work independently and collaboratively with internal teams, subcontractors, and clients.
  • Valid driver's license and ability to travel throughout the Washington, D.C. metropolitan area.
Physical Requirements
  • Ability to travel regularly between warehouse and project locations.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to work in warehouse, office, and active job-site environments.
  • Ability to stand, walk, bend, and climb stairs as required during site visits.
