Job description

Position Summary

Novus Auto Glass Repair & Replacement is seeking a dependable, organized Office Manager & Bookkeeper to oversee the daily administrative and financial operations of our Chehalis office. Working directly with the business owner, this position is responsible for bookkeeping, payroll, office administration, employee records, insurance invoicing, and supporting a small team of approximately four employees.

Experience in the auto glass or automotive industry is preferred but not required. We provide training for our industry-specific software and procedures.


Key Responsibilities


Accounting & Office Management

  • Maintain company bookkeeping using QuickBooks Desktop
  • Process bi-weekly payroll using ADP
  • Track employee hours, PTO, and sick leave
  • Submit electronic insurance invoices
  • Complete daily bank deposits and reconcile credit card transactions
  • Prepare monthly sales reports and maintain financial records
  • Order office supplies, uniforms, and shop supplies
  • Coordinate vendor services and company accounts


Employee Administration

  • Maintain confidential employee records
  • Enroll employees in company benefits
  • Coordinate drug testing, background checks, and driving abstracts
  • Assist with payroll and employee administration


Customer & Office Support

  • Answer phones and assist customers
  • Schedule appointments
  • Process insurance claims
  • Order automotive glass
  • Process customer payments
  • Support daily office operations and assist coworkers as needed


Qualifications Required

  • Previous office administration, bookkeeping, or office management experience
  • Proficiency with Microsoft Word and Excel
  • Strong organizational and communication skills
  • High attention to detail
  • Ability to manage multiple responsibilities in a busy office environment
  • Ability to maintain confidentiality regarding financial and employee information
