Job description

Summary
This position is intended to be filled by a candidate for no more than two years. This position is intended to provide skills and training to a candidate in order to give such candidate the opportunity to be promoted within the Ahtna Family of Companies.
The receptionist provides exceptional customer service as the first point of contact when visitors or shareholders visit or call reception desk. Performs administrative and office support to the staff in the Anchorage Ahtna, Inc. offices. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations and filing. Includes training/education to qualify for Advancement Career.
Please note this position is open to Ahtna Shareholders only.
*Please Note: This position is contingent upon a contract award. We will not be actively responding to applicants until there is a need to move forward with this position.
The pay rate for this position is $22/hour.
Essential Duties and Responsibilities (to include, but not limited to):
  • Answers incoming telephone calls, determines purpose of callers, and transfer calls to appropriate personnel or department. Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate staff members, direct them to sign-in and assign visitor badge.
  • Provides general information in response to inquiries about Ahtna, its mission, activities or personnel.
  • Organizes and maintains reception area, to present a neat and efficient appearance. Assures that Ahtna marketing materials and other informational literature is current and available for visitors and members.
  • Sorts, logs and distributes incoming/outgoing mail.
  • Delivery of time sensitive packages to shipping sources (Fed-Ex, Alaska Air Cargo, Raven, etc. when necessary).
  • Assists shareholders to complete documents as needed, logging received shareholder information and forwarding to Shareholder Services Manager and Assistant.
  • Maintaining security for office. Keeping an eye out for suspicious characters that should not be let it.
  • Assists in the preparation of Ahtna staff meetings and employee events.
  • Uses computer for various applications, such as word processing and excel.
  • Other duties as assigned.

Minimum Qualifications
  • High school diploma or a General Education Diploma (GED).
  • Six months' experience working in a customer service or administrative based position.
  • Must be familiar with MS office software (Word, Outlook, Excel, and PowerPoint). The work requires ability to use and maintain directories, lists and other manuals.
  • Must have professional telephone skills, excellent customer service, and business attire.
  • Must be able to pass a background check and drug test.
Preferred Qualifications
  • Experience and knowledge of Alaska Native cultures.

Physical Demands
Frequent sitting for prolonged periods of time, using hands/fingers requiring dexterity and coordination to handle files and single pieces of paper, reaching with hands and arms for items above and below desk level, talking, hearing, and seeing (up close, at a distance, along the periphery, with depth perception, and the ability to adjust focus); walking from place to place within the office with occasional use of stairs and no elevator available; bending, pushing, pulling, and standing for up to 2 hours; occasional lifting of up to 40 pounds such as small office equipment, files, stacks of paper, file boxes, and other materials.

The work environment characteristics described in this job description are representative of those an employee encounters while performing the essential duties and responsibilities of this job:
Work is performed in an office setting with ability to speak and receive phone communications often. Work requires computer usage with strength, dexterity, coordination and visual acuity to use keyboard and video display terminal and other office equipment.
Work Schedule: Monday - Friday; 7:30am - 4:30pm or 8:30am - 5:30pm; 40 hours
