THE JOB

VIP Nation is looking for a highly motivated and organized individual to be a critical part of driving project management in the organization. This individual will be a self-starter and see projects through to completion while also supporting one of the executives.

WHAT THIS ROLE WILL DO

  • Manage VIP program logistics
  • Manage VIP Road Staff
  • Manage new hire paperwork for Reps
  • Oversees VIP Rep processes (financial recaps, nightly event recaps)
  • Manages training & execution for all road Rep personnel; including travel and launching tours, program advance, local assistants, check-in lists for ipads, go-to for all needs)
  • Packing road cases and manage shipments to / from tour
  • Fulfillment of Experience
  • Designing on site elements based on VIP program needs and artist team's vision
  • Working with tour and artist management teams to designate run of show and VIP logistics
  • Manage Merchandise & Creative Procurement
  • Help facilitate merchandise approvals/changes with Client Service point, Management & merch vendors + assists with ambience/decor decks for each program
  • Submit purchase orders & maintain PO listing
  • Drop shipment schedules for merchandise
  • Creative for photo booths, drink tickets, banners
  • Advancing - Initiating contact with venues to share package details and execution requirements, securing space, capacities, costs, issues, prep for road reps
  • Financials - Supporting road rep in reviewing and approving venue expenses where needed. Verifying backing and organizing and prepping final invoices and receipts for tour wrap up and settlement
  • Warehouse - Stocking, inventory management and organizing all warehouse supplies, road cases, technology, tour assets
  • Administrative - Tracking tour expenses, archiving, scanning/filing paperwork

WHAT THIS PERSON WILL BRING

  • Experience managing Live Event Operations; experience in VIP package fulfillment and operations a plus
  • Bachelor's degree required
  • Excellent inventory and project management skills
  • Strong reporting and analysis skills
  • Experience working with customer and venue databases to manage information
  • Superior communication skills and experience with crisis management
  • Proficiency in merchandising and production planning
  • Must have valid passport and be available for domestic and international travel
  • Road and touring experience a plus
